Principal Clerk-Audit Department – City of Westfield, MA
OverviewPosition is responsible for providing accounts payable, clerical, bookkeeping and customer service assistance for the efficient and effective operation of the department. Works under direct supervision of Assistant Auditor and Auditor, with additional supervision from other department employees as assigned.
Responsibilities- Prepares invoice input, verifies bills for accuracy and appropriate authorization, and performs data entry of accounts payable.
- Organizes weekly vouchers and punches bills; verifies and posts Gas & Electric bills for all city accounts.
- Checks contracts for compliance; prepares summaries of expenditures and balances in appropriations for warrant.
- Posts bills, prepares outgoing mail including typing envelopes/labels as necessary, sorts and distributes incoming mail.
- Verifies off‑duty police spreadsheet data from the Police Department for submission to the Collector and Payroll.
- Verifies unemployment commitments and worker compensation invoices; creates labels and maintains filing system.
- Archives records at end of year and assists with record retention pursuant to state regulations.
- Handles accounts payable and warrants; maintains inventory of office supplies, orders supplies, and creates purchase orders.
- Responds to inquiries via telephone or in person.
- High school diploma or GED and 1 year related work experience, or equivalent combination of education and experience providing required knowledge, skills and abilities.
- Knowledge of bookkeeping and ability to apply basic mathematical concepts in practical applications.
- Excellent organizational, typing and data processing skills; proficient in personal computers, office software (word processing, database, internet, spreadsheet applications) and accounting software.
- Strong communication skills—both oral and written; ability to maintain confidential information and follow departmental rules, regulations, policies and practices.
- Ability to work under pressure, meet deadlines, and adapt to changing priorities.
- Proficiency in proofreading and learning new software efficiently.
