NECS is currently seeking a full‑time remote Monday‑Friday 8‑hr/5‑day Switchboard Operator (internally called a First Responder). The First Responder is the first point of contact for anyone calling NECS, greeting callers, assessing needs, reassuring, and routing information to appropriate staff using various communication methods.
Job Duties- Answer all incoming phone calls to the practice in a small call center environment using a multi‑line phone system.
- Determine call management according to triage guidelines, caller need, and patient status, using the Electronic Medical Record (EMR) to confirm patient status for call pathway determination.
- Route emergency calls appropriately.
- Communicate with the answering service daily, activating and deactivating the service, designating messages to appropriate staff, entering clinical messages onto the dashboard, and faxing administrative messages to appropriate NECS sites.
- Log real‑time information while speaking with a caller (physician's office, patient, nurse, etc.). Information logged into the dashboard pathways form.
- Transfer calls according to guidelines, utilizing electronic staff schedules to ensure calls are routed to correct staff members.
- Page individuals to inform them of telephone calls, using paging or interoffice communication equipment.
- Adhere to all HIPAA guidelines/regulations.
- Assist with Medical Records duties during downtime.
- Communicate all technical issues to supervisor in a timely manner to prevent any patient impact.
- High School Diploma or GED.
- Knowledge of medical terminology.
- Experience in a medical practice as a Medical Assistant or Medical Secretary preferred.
- Switchboard experience preferred.
- Excellent customer service skills.
- Ability to maintain effective working relationships with patients, medical staff, and the public.
- Ability to speak clearly and concisely.
- Previously answered the phone pleasantly and helpfully.
- Able to operate multi‑line phone, copier, and fax machine.
- Demonstrated experience using multiple office software systems such as MS Office, electronic mail, and the EMR system.
- Ability to organize and coordinate multiple activities.
- Adaptability to constant change and a fast pace.
- Effective communication with internal and external customers.
- Work independently as well as in a team environment.
