Position: Accounts Payable (A/P) Associate

Position Summary

The Accounts Payable (A/P) Associate is responsible for processing vendor invoices, ensuring timely and accurate payments, maintaining financial records, and supporting overall accounting operations. This role requires a high level of attention to detail, strong organizational skills, and a commitment to maintaining accuracy and compliance with company policies and accounting principles.

Key Responsibilities
  • Review, verify, and process invoices, purchase orders, and expense reports.
  • Match invoices with purchase orders and receipts to ensure proper authorization.
  • Enter and code invoices accurately in the accounting system.
  • Reconcile vendor statements and resolve discrepancies promptly.
  • Prepare weekly and monthly payment runs (checks & ACH).
  • Maintain organized electronic and physical filing of invoices and payment records.
  • Respond to vendor inquiries and internal payment-related questions in a timely and professional manner.
  • Assist with month-end closing activities, including accruals and account reconciliations.
  • Participate in process improvement initiatives to enhance AP efficiency.
Qualifications
  • Associate’s degree in Accounting, Finance, preferred but not required.
  • 2+ years of accounts payable experience.
  • Proficiency in Microsoft Office,
    Prophet 21
    experience preferred
  • Strong analytical, problem-solving, and time-management skills.
  • Excellent attention to detail and accuracy in data entry and documentation.
  • Ability to work independently and collaboratively in a fast-paced environment.
Work Environment
  • Full-time, Monday–Friday schedule – Westbrook, ME location
