Job Overview

Performs a variety of administrative and clerical duties to manage patient registration and patient financial obligation. Assists with Medical Assistant duties as needed.

MINIMUM QUALIFICATIONS
  • High school diploma or equivalent.
  • State criminal background check and Federal (if applicable), as required for regulated areas.
PREFERRED QUALIFICATIONS
  • National Certification as Certified Medical Assistant (CMA).
CORE DUTIES AND RESPONSIBILITIES
  • Obtain demographic, billing and insurance information from patient/family/legal guardian and enter it into the registration/billing systems for service and claim processing, and scan insurance cards and photo identification. Provide the patient with information concerning insurance, payment of bills and hospital procedures.
  • May complete managed care responsibilities in regard to obtaining pre‑certification and authorizations.
  • Prepare WVU Medicine standard consent form, notice of privacy practice and/or other necessary paperwork related to registration, present it to patient/family/legal guardian for signatures, and obtain electronic signature for consent to treat and patient financial obligations.
  • Collect deposits, co‑payments, deductibles and patient liability payments when applicable, provide receipts and document payments in the registration/billing systems.
  • Prepare arm‑band for patient identification.
  • Balance daily receipts and cash drawer for patient payments as needed; follow up on accounts flagged by the system (courtesy dismissal/comments/red stickers).
  • May initiate various screenings and obtain all pertinent coverage information and complete appropriate paperwork.
  • Perform medical necessity checks and complete Advanced Beneficiary Notice as needed.
  • Schedule, reschedule or cancel patients in accordance with hospital workflows.
  • Check for order completeness and validate order against scheduled service.
  • Greet and escort patients to exam rooms; prepare for physician visit by obtaining initial information and vitals.
  • Assist with and/or perform immunizations, medicine refills and ECGs.
PHYSICAL REQUIREMENTS
  • Frequent walking, standing, stooping, kneeling, reaching, pushing, pulling, lifting and grasping.
  • Visual acuity within normal range.
  • Manual dexterity to operate keyboards, fax machines, telephones and other business equipment.
  • Sit or stand for extended periods of time.
  • Reading and comprehension ability.
WORKING ENVIRONMENT
  • High volume, fast‑paced environment.
  • Exposure to communicable disease.
  • Frequent interactions with patients, medical staff and support staff daily on a continual basis; work is performed in a standard outpatient clinical environment with a very high patient volume.
  • Requires considerable attention to detail, organizational skills and ability to perform multiple tasks simultaneously.
  • Requires understanding of medical insurance requirements for payment and basic knowledge of covered services.
  • Must provide information on demand, sometimes taking requests from several sources.
  • Must be able to work with a variety of personality types and interact with individuals with various levels of education, capabilities and communication skills.
  • Very fast‑paced and demanding office setting.
SKILLS AND ABILITIES
  • Accurately utilize applicable computer software and equipment for access processing and follow down‑time procedures.
  • Know procedure to report and/or document unsafe/hazardous conditions, incidents and defective equipment in compliance with hospital policy.
  • Possess considerable attention to detail, organization and the ability to perform multiple tasks simultaneously.
  • Memorize a considerable amount of information and reference information not retained from written sources or personnel.
  • Understand medical insurance requirements for payment and possess basic knowledge of covered services.
  • Excellent written and verbal communication skills and ability to understand written and verbal communication.
  • Basic knowledge of medical terminology.
