The Administrative Assistant provides essential support by managing a wide range of administrative tasks. This position ensures accuracy in financial processes such as invoicing and recordkeeping, maintains organized documentation systems, and provides exceptional customer service to internal and external stakeholders. The ideal candidate will demonstrate strong attention to detail, excellent organizational skills, and the ability to prioritize and manage multiple responsibilities in a fast‑paced environment.

Job Duties

- Process invoices for payment accurately and in a timely manner.
- Production data entry for reporting purposes.
- Record daily sales transactions and maintain accurate logs.
- Handle deliveries and prepare customer invoices.
- Assist with plywood sales, including occasional cash handling.
- Maintain accurate records for quarterly tax returns.
- Prepare and process manual and system-generated checks.
- Answer phones and manage the switchboard, providing excellent customer service.
- Arrange and manage catering for meetings, including placing orders and coordinating pickups.
- Provide logistical support, including daily errands and office preparation for meetings.
- Manage incoming/outgoing mail.
- Keep the workspace clean and organized.
- Support collections processing and assist with period‑end closing activities.
- Learn cross‑functional tasks to provide coverage during vacations.
- Perform general office duties, including file maintenance, data entry, word processing, photocopying, and additional tasks as assigned.
- Ability to lift up to 30lbs as needed.
- High school diploma or equivalent.
- Knowledge of office and administrative procedures, including phone and customer relations protocol.
- Strong computer skills, including Microsoft Excel and Word.
- Excellent communication and customer service skills.
- Strong organizational and time management skills.
- Ability to work in a fast‑paced environment and solve problems effectively.
Position will work on‑site at Craigsville, WV location.
