Customer Support Specialist
Westbrook Health Services, Inc.

Brief Description

Responsible for professionally greeting clients and ensuring an orderly and efficient check‑in process. Acquire financial and insurance information from clients or guardians and perform data entry into electronic health records. Provide administrative support, answering phone calls, rescheduling clients, directing visitors, and creating and maintaining telehealth connections between clients and providers.

Essential Duties and Responsibilities
  • Coordinate and schedule client appointments.
  • Conduct referral and intake interviews with clients.
  • Enter and update electronic health records.
  • Verify client insurance prior to appointments and enter funding sources following company procedures.
  • Conduct insurance pre‑certifications.
  • Request records from other facilities to ensure continuity of care.
  • Communicate with outside agencies regarding the provision or scheduling of services.
  • Collect payments from clients, providing proper receipts and securing the funds.
  • Disburse and reconcile petty cash.
  • Maintain and disburse company credit cards, collect and submit receipts.
  • Provide administrative clerical support to the Office Coordinator and County Director.
  • Operate the telephone to forward calls or take messages as appropriate.
  • Greet persons entering the building, determine the nature of the visit, and notify appropriate staff of their arrival.
  • Connect clients to teletherapy/telehealth portals.
  • Complete Q‑note documentation as needed.
  • Maintain training compliance as required by Westbrook Health Services.
Physical Demands

Mobility and the ability to sit for long periods, use a standard computer keyboard and telephone are required functions. Ability to bend, reach and lift up to 10 pounds is required.

  • Ability to use basic office machines and computer systems.
  • Must be able to communicate clearly and accurately to convey and receive correct information.
  • Ability to work with staff, clients and family members in a professional, cooperative, ethical and respectful manner.

  • Ability to effectively convey the mission of Westbrook Health Services.

Education / Experience:

High school diploma or GED; prior computer/PC experience is preferred but not required. Experience with electronic health records preferred. Must pass Criminal Investigation Background and DHHR Background Checks.
