Our client is a major player in the insurance industry with multi billion dollar book of business is currently seeking an Executive Assistant. This role involves high-level, proactive support, focusing on complex global travel/scheduling, confidential communications, deal support (meeting prep, materials), managing special projects, and acting as a key liaison with C-suite and High Net Worth individuals /partners, all requiring exceptional discretion, judgment, and ability to thrive in a fast-paced, demanding environment with potential after-hours flexibility.
Key Responsibilities- Calendar & Schedule Management:
Master complex, ever-changing global calendars, coordinating internal/external meetings, managing conflicts. - Travel & Logistics:
Arrange seamless, detailed domestic/international travel, including private jets, and manage expenses. - Communication & Liaison:
Serve as a polished gatekeeper and liaison with investors (LPs), clients, portfolio companies, and internal teams. - Meeting & Presentation Support:
Prepare agendas, briefing materials, presentations, and supporting documents for senior leadership meetings. - Project Management:
Support strategic initiatives, special projects, event planning, and operational tasks. - Confidentiality:
Handle highly sensitive information with absolute discretion and integrity. - Administrative Operations:
Manage email, expense reports, documents, and provide general support. - Proactive Support:
Anticipate needs, troubleshoot issues, and ensure the MD's day runs seamlessly.
- Experience:
5+ years in demanding financial environments (PE, IB, Consulting), ideally supporting partner/MD level. - Soft Skills:
Highly organized, proactive, detail-oriented, adaptable, exceptional judgment, excellent communication (written/verbal). - Technical
Skills:
Expert in MS Office (Outlook, Word, Excel), familiarity with task/calendar management tools. - Attributes:
High integrity, sound judgment, discretion, ability to manage up, comfortable with potential after-hours work.
