Legal Secretary, Legal Assistant
Callahan & Fusco is seeking a seasoned Manager of Legal Operations & Support Services to provide firm-wide leadership over paralegal and legal assistant operations across all offices and jurisdictions.
This is a litigation operations leadership position, created to centralize ownership of legal support procedures, quality control, and process consistency as the firm continues to grow. The role serves as the primary point of accountability for how legal support work is organized, executed, and standardized—allowing attorneys, paralegals, and legal assistants to focus on execution rather than system repair.
The ideal candidate has hands-on insurance defense litigation experience, a strong understanding of New York and New Jersey practice, and prior experience leading or overseeing legal support operations in a multi-office law firm environment.
Firm Operating Model- Paralegals operate in a pooled structure and are not routinely assigned to individual attorneys or files
- File-specific assignment occurs only as matters approach trial or where fraud or complexity requires continuity
- Senior paralegals and senior legal assistants focus on attorney support and task execution
- This role owns procedures, quality control, and process discipline, not individual case production
- Serve as the single point of ownership for paralegal and legal assistant procedures across all offices
- Act as a visible leader and advocate for legal support teams firmwide
- Ensure consistent execution of legal support standards regardless of location or jurisdiction
Develop, implement, and maintain firmwide SOPs related to:
- Filing and service procedures
- File and document organization
- Calendar management
- Legal support workflows and standards
- Eliminate inconsistent office-specific practices unless jurisdictionally required
- Oversee legal support workflows within a pooled staffing model
- Ensure balanced workload distribution and appropriate escalation
- Prevent unnecessary attorney-specific or file-specific assignments except where strategically required
- Establish and enforce quality standards for legal support work product
- Conduct periodic QC reviews
- Identify systemic issues and implement corrective solutions
- Identify staffing needs, capacity constraints, and workflow pressures
- Develop data-driven proposals related to hiring, overtime, and corrective action
- Partner with firm leadership on workforce planning decisions
- Own the legal operations component of onboarding for paralegals and legal assistants
- Partner with HR to ensure consistent onboarding across offices
- Reduce ramp-up time and procedural confusion for new hires
- Address friction and procedural inconsistency between offices
- Reinforce a “one firm, one standard” approach to legal support operations
- Travel to firm offices as needed to support adoption and alignment
This role is intentionally designed to flex based on the background of the selected candidate:
- A paralegal-forward candidate will carry a reduced, clearly defined billable hour expectation, with leadership, quality control, and operational oversight remaining the primary responsibilities.
- A legal assistant-forward candidate will have no billable hour requirement and may be assigned limited attorney support responsibilities to maintain operational fluency.
In all cases, performance is measured byfirm-wide consistency, quality of work product, procedural discipline, and effective problem resolution, not just individual production.
Required Qualifications- 7+ years of insurance defense litigation experience
- Strong working knowledge of New York and New Jersey practice (required)
- Experience in litigation operations, paralegal leadership, or legal support oversight
- Demonstrated experience owning SOPs, workflows, and quality control
- Ability to lead across multiple offices and jurisdictions
- Strong judgment, communication, and problem-solving skills
- Trucking and transportation litigation
- Florida and/or Georgia insurance defense exposure
- Experience in a multi-office or growing law firm environment
- Familiarity with pooled staffing models
- Based in New Jersey
- Minimum 4 days per week in office
- Periodic travel to firm offices required
- High-visibility role interacting with attorneys, support staff, and firm leadership
