Schedule:

Monday – Friday business hours with some flexibility for start and stop times.

General Purpose

The Administrative Assistant provides office support for multiple areas, including:
Executive Assistant (50%), Shelter Operations (25%), and Development / Communications (25%). The division of duties may vary based on organizational need.

Essential Duties & Responsibilities
  • Demonstrate regular and reliable attendance.
  • Perform a complete range of clerical tasks including organizing meetings; creating documents and spreadsheets; entering data; preparing for compliance audits; tracking forms; responding to voicemail and email; and filing.
  • Prepare professional communications such as emails, letters, memos, and reports.
  • Assist with meeting management, including scheduling, material preparation, and taking notes.
  • Maintain filing systems, both electronic and paper.
  • Act as the on‑site contact, with the Executive Assistant, to communicate with our IT services provider for employees, vendors, and committee members.
  • Facilitate employee‑issued equipment/accounts Microsoft 365 systems and monitor proper usage of files.
  • Research and report findings on various topics/projects.
  • Assist with recruitment review/process applications, conduct screening calls, and reference checks.
  • Assist with employee recognition activities.
  • Assist Facilities and Emergency Preparedness Committees.
  • Handle highly sensitive information discreetly and maintain absolute confidentiality.
  • Maintain appropriate professional boundaries with residents, staff, volunteers, donors, and vendors.

Duties & Responsibilities
  • Support organizational transitions or process updates.
  • Attend Recruitment Job Fairs.
  • Attend all required meetings and trainings.
  • Assist with event preparation and post‑event breakdown.
  • Run errands and pick up needed items from Costco, Post Office, UPS, and catering for events.
  • Order supplies/items and perform timely data entry of orders and receipts.
  • Assist Leadership with special projects.
  • Complete other duties as assigned.
Qualifications & Skills
  • Ability to communicate clearly, concisely, and professionally both verbally and in writing.
  • Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook, including creating, reformatting, and managing documents.
  • Demonstrate outstanding organizational skills.
  • Ability to follow written and verbal instructions effectively.
  • Ability to work on multiple tasks at once and manage deadlines efficiently.
  • Pass and maintain eligible status on Direct Access Clearance System (DACS) criminal background check.
  • Current driver’s license and acceptable driving record.
Preferred Qualifications
  • 1–2 years’ experience in an administrative assistant position.
Working Conditions & Physical Demands

The working environment is an office setting with the majority of time spent at a desk using a computer. Employees must have transportation to run errands and pick up needed items.

  • Operation/use of basic office equipment such as telephone, computer, scanner, and copy machine.
