Base Pay Range

$67,000.00/yr - $/yr

Position Summary

This position requires a highly organized and creative individual who possesses strong initiative and can complete multiple projects in a deadline driven environment. This individual must be able to communicate effectively and understand the need to work in an integrated manner with other members of the department in furtherance of goals, objectives, and knowledge.

Administrative Tasks
  • Coordinate and confirm scheduling of meetings/calls; maintain/update calendar for Executive(s);
    Maintain entire schedule process
  • Receive and screen visitors/incoming calls to determine priority and provide detailed notice with information necessary to accurately execute meetings
  • Coordinate travel arrangements, prepare itineraries, confirm details, finalize agendas and update calendars for Executive(s) and other Directors as assigned
  • Assist with client and company projects as assigned
  • Manage group calendar and HRIS additions
  • Communicate with vendors as needed, such as IT and AV
  • Assist the Employee Engagement team with the execution of company events
  • Assist corporate team with tasks as assigned
  • Review time entry and requests for any direct reports
  • Assist HR with special projects related to employee offboarding and onboarding of new hires
  • Contribute to designing and enhancing presentations, marketing materials, and overall office communication as assigned
Technical Tasks
  • Maintain a high level of working knowledge in Excel, Canva, Adobe, and other relevant software
  • Execute decisions, organize and delegate work to staff in the absence of Executive(s) as necessary
  • Perform various highly sensitive and confidential executive and administrative support tasks as requested
  • Project management and execution of any ad hoc tasks assigned by the management
Specific Job Knowledge, Skills, and Abilities
  • Strong project management and organizational skills
  • Superior verbal and written communication skills
  • Advanced attention to detail skills
Qualifications
  • Ability to reliably commute and report to the Tri Star office
  • 7+ Years as an Executive Assistant to C‑Suite executives, preferably in the business management, family office, and/or entertainment industries
  • Must have previous experience with complex schedules and calendar coordination, project management, and office management
