Summary
The SSS III positions provides administrative support focusing on scheduling and operational staffing needs. This role coordinates vacation time, shift assignments, and overtime review and escalation while ensuring minimum staffing requirements. It supports the management of the scheduling software and monitors attendance negative patterns.
Essential Duties
Criminal Division
- Coordinate and schedule vacation, assignments, and coverage according to minimum staffing procedures.
- Coordinate overtime notifications in alignment with operations
- Monitor and review operational needs when creating schedules.
- Review and escalate overtime and negative attendance issues.
- Utilize scheduling software to ensure optimal coverages and track data.
- Track attendance trends to ensure compliance with policy for time-off requrests.
- Perform data entry related to scheduling, attendance, and, approvals.
- Maintain records of scheduling activities and ensure accuracy.
- Other administrative duties as assigned.
- High School Diploma or General Education Degree (GED).
- Basic spelling, grammar as well as accounting and math skills.
- General computer knowledge.
- Ability to prioritize and organize work.
- Ability to use office machines (fax, copier, calculator, etc.).
- Strong Interpersonal and customer service skills.
- Strong time management and organizational skills.
- Accurate and detail oriented with good verbal and written communication skills.
- Familiar with reception desk functions.
- Ability to deal with all types of people and personalities.
- Able to use common sense understanding to follow written and verbal instructions.
- Flexible, with an ability to carry multi-task.
- Exhibits a strong work ethic and a willingness to learn new tasks.
- Ability to work effectively with people from diverse backgrounds.
- Professionalism, integrity, and honesty with an ability to handle confidential matters
- Additional college or university courses in administration or another job-related field.
- Additional job-related experience in an office setting.
- Excellent ability to establish priorities, work independently, and proceed with objectives without supervision.
- Knowledge and understanding of County of Chester policies and procedures.
Relevant background checks, clearances, physicals, drug tests, and any other assessments or evaluations will be conducted after an offer of employment is given per County policy.
Computer Skills:
To perform this job successfully, an individual should have:
- Basic Microsoft Office suite skills (Word, Excel, PowerPoint, Outlook)
- Basic Out Look skills (Calendar and Email)
- Basic typing / word processing skills (minimum of 40 wpm).
- Basic Access skills may be required.
Physical demands will vary by department and may include the following:
While performing the duties of this position, the employee is frequently required to stand, walk, sit, bend at the waist, and talk or hear. Occasionally, the employee will need to reach or work with arms above shoulder height; kneel, stoop, crouch or squat; crawl; climb stairs; climb or work on a ladder; twist or rotate at the waist while working; push, lift or carry items;
work with office machinery, and work with an uncommon level of noise.
