Job Introduction
We are looking for a People Team Administrator and Receptionist - MAT Cover (12 months FTC) to provide accurate and timely administration to the People Team and act as the first point of contact to team members and visitors at Bigham’s, ensuring they are directed in a professional and engaging manner resulting in a great stakeholder experience.
Key Accountabilities- Effectively manage the day‑to‑day running of the reception and main office.
- Ensure timely reporting of daily and weekly people KPIs.
- Support the onboarding of new team members into the business.
- Prepare the data and inputs for payroll.
- Organise Bigham’s café briefings, parties and team celebrations.
- Support the People Team’s “love” agenda focused on maintaining high engagement levels for the business.
- Provide regular reporting of daily, weekly and monthly people KPIs including hours, engagement scores, turnover and attendance.
- Become a “super‑user” of the HRIS system supporting line managers in using the time, attendance and reporting modules.
- Liaise with Team Leaders to ensure people actions such as probation reviews, return‑to‑work meetings and progress reviews are completed and recorded on the People System.
- Process new starters and payroll changes, including issuing all supporting correspondence (e.g., variation letters, end‑of‑probation letters, resignation confirmations).
- Play a key role in monthly payroll processing, supporting the People Advisor to efficiently manipulate payroll data, record all pay queries, investigate root causes and resolve issues with appropriate follow‑up action.

- Organise monthly café briefings, including news, people celebrations, awards and certificates, and ensure noticeboards are updated in an engaging and timely manner.
- Lead the planning of the Bigham’s Christmas and summer parties, ensuring events are clearly communicated, people are engaged, want to attend and have a great time.
- Coordinate and update internal communication on noticeboards, weekly team briefings and internal screens.
- Answer all incoming calls, screen and transfer to the relevant person or team, taking messages when appropriate.
- Meet, greet and announce all visitors.
- Maintain the reception area, office and meeting rooms.
- Open and distribute post.
- Frank all outgoing mail and parcels.
- Order stationery and ensure supplies are stocked.
- Arrange couriers and taxis.
- File, copy, scan and type documents as required.
- Manage diaries and schedule meetings.
- Update trackers to prompt managers to complete regular tasks.
- Support Bigham’s annual employee survey, ensuring maximum participation and communication pre‑ and post‑survey.
- Ensure everyone understands how to live our values and that we recognise and celebrate this great place to work, while empowering our people to bring extraordinary results.
- Ensure all people processes, correspondence and training activity reflect Bigham’s values.
- Experience of working in a busy administrative role, ideally within Human Resources or a reception‑based role that involves customer interaction.
- Experience of working in a fast‑paced food manufacturing, FMCG or service organisation.
- Approachable and energetic.
- Competent user of MS Office at an intermediate level, with experience of using MS Teams and Outlook.
- Confident and effective communicator with great listening skills.
- Experienced administrator with demonstrable ability to manage file structures and juggle priorities.
- Great organiser with attention to detail.
- Good telephone manner.
- Supportive and able to demonstrate empathy.
- Ability to communicate at all levels.
