Lead Patient Access Representative - Orthopedic Surgery - Waterloo Medical Center - Full Time
Join the Mercy One Family! We are looking to hire a Lead Patient Access Representative for our Orthopedic Surgery department in Waterloo Medical Center.
As a Lead Patient Access Representative at Mercy One, you will coordinate the computerized scheduling application and process for the entire clinic enterprise. You will provide training to staff and assist with changes/upgrades of computer software and the telephone system, using the Navigator software. You will adhere to Mercy One’s performance expectations and perform all defined services and related duties in accordance with the mission, vision, and values of Mercy One.
Schedule- Full time, 40 hours a week
- Maintain the scheduling application for the computer software.
- Work with physicians and clinic managers to establish provider schedules.
- Maintain scheduling operations (i.e., running schedules, opening and closing schedules).
- Assist managers in collecting scheduling data.
- Act as the master scheduler for the clinic enterprise and serve as a resource post implementation.
- Act as consultant to the Patient Access Assistant who maintains the scheduling activities.
- Update and maintain provider call schedules.
- Create provider weekly schedules based on provider availability.
- Communicate to all associates and departments where the provider is located.
- Unlock cupboards and redistribute office documents.
- Maintain patient recall database and reports.
- Distribute recall letters to scheduling staff to complete (70%).
- Orient and train on scheduling application and phone system.
- Contact providers annually to review and upgrade templates, appointment types, and other individualized information.
- Move the end dates of all current providers ahead annually and keep a record of all providers listed in the system.
- Maintain alphabetical and numerical lists of all current providers in the system.
- Ensure new employees are oriented to department/job/software and that initial competency is assessed and documented.
- Provide ongoing training on equipment and procedural changes as needed.
- Coordinate activities with the Patient Access Assistant to support the needs.
- High School plus specialized training (min. 6 months – 2 years):
Completion of Medical Secretary program and/or equivalent training and education. - 0–2 years:
Minimum of 2 years’ experience working with provider schedules.
