Overview
George Consulting is seeking an Administrative Assistant (Digital Media Conversion) to support NIPO at the Washington Navy Yard.
Responsibilities- Conversion of physical documentation into searchable digital files.
- Organizing the digital file system for searchability, retrieval and archival of documents.
- Assist with back-office tasks from government lead.
- Communicate with government personnel about files being converted.
Job Duties (Backup)
- Receptionist duties: answer telephones to relay incoming, outgoing, and intra-system calls; greet visitors, determine the nature of visits, and direct visitors to appropriate persons. May include recording and transmitting messages, keeping records of calls, providing information to callers and visitors, making appointments, keeping a log of visitors, and issuing visitor passes. May perform other routine clerical work as needed.
- Physical Security:
Greet all visitors (e.g., Foreign Chief of Naval Operations chairs, Corporate Executives, General and Flag Officers); arrange VIP access into Navy IPO spaces; control access and badging; maintain records of visiting dignitaries; track and record foreign visitors to Navy IPO via the Foreign Visitor System Confirmation Module (FVS-CM); process incoming visit requests; manage courier cards, visitor badges, and property passes;
arrange escorts as needed; ensure visitors comply with security policies; safeguard and return personal electronic devices (PEDS) to owners; maintain reception area security and secure lock-up after hours. - Personnel Security:
Maintain personnel security data using MS Access; prepare outgoing visit requests; use the Defense Information System for Security (DISS) or its successor for clearance and visit information; record security training; receive, review and input security clearance data into visitor databases; ensure contractor visit requests are up-to-date; file visit requests and keep records; update security and visitor databases as needed. - Antiterrorism/Force Protection (AT/FP):
Maintain current AT/FP training data for all personnel and contractors; prepare Individual Force Protection Plans (IFPPs) for travelers; consult current threat lists when preparing IFPPs. - Information Security:
Receive deliveries to the command, protect all deliveries, record all incoming items, and move items for dissemination as required. - Training:
Maintain records of all security training for command members (e.g., initial orientation, annual refresher briefings, Cyber Awareness briefings, AT/FP, PII training, Counterintelligence).
- High School Diploma or GED
- Must be comfortable communicating with people daily and in person.
- Understand the importance of on-site security measures and be able to enforce them properly with everyone entering the building.
- Comfortable going on-site every day at the Washington Navy Yard.
- Ability to communicate effectively with all directors on-site.
