The Maintenance Supervisor is responsible for maintaining the physical integrity of the property at all times. This involves ensuring a safe and secure living environment for residents, visitors, and staff. The Supervisor anticipates, identifies, and corrects any and all problems involving the property and implements procedures to prevent such problems. An effective maintenance program is essential to:
- Maintain a safe environment.
- Cultivate resident satisfaction.
- Protect the investment of the apartment property owner.
The Maintenance Supervisor conducts all business in accordance with Gates, Hudson & Associates, Inc., established policies and procedures, state and federal laws, including OSHA, ADA, and Fair Housing.
Financial- Ensure compliance with procurement policies and use of approved vendors/contractors in daily tasks and expenditures.
- Assist with prioritization of capital improvement projects.
- Recruit, recommend, and train maintenance applicants.
- Provide technical and policy training and supervise maintenance technicians daily.
- Schedule maintenance personnel with the Property Manager to ensure availability for emergency purposes (24/7).
- Maintain all payroll records, including vacation, sick leave, overtime, and provide payroll information to the Property Manager as required.
- Ensure all maintenance employees report in uniform.
- Instruct staff on proper use of safety items and guidelines.
- Meet all reporting deadlines and maintain an activity calendar to ensure routing, preventive maintenance, and general tasks are completed.
- Update all logs, manuals, and handbooks as requested by Management.
- Provide monthly water consumption readings under the GHA Energy Management Program.
- Maintain security and accessibility of all keys (including master keys, beepers, and radio equipment).
- Assist in implementing and maintaining an inventory and stock control system for routine maintenance parts and tools.
- Mark all company-owned equipment and tools with the property name and telephone number.
- Provide instruction booklets on all property tools and equipment.
- Ensure all resident requests and issues are handled timely and prioritized according to policy.
- Follow up on repair orders, staff, and contractor service requests to resolve resident situations.
- Maintain accurate records regarding preventive maintenance, service requests, expenditures, apartment make‑ready status, work‑in‑progress, and more.
- Schedule and perform minor and routine maintenance on all appropriate equipment regularly.
- Inspect and maintain all tools in excellent condition.
- Implement the preventive maintenance program for property equipment and tools according to GH policy and procedures.
- Ensure the Repair Order System devised by GH is properly implemented.
- Perform spot inspections of completed tickets to ensure quality and cleanliness of apartments and common areas.
- Oversee the turnover/renovation process to ensure rent‑ready apartments for new move‑ins, reducing vacancy loss.
- Ensure contractor performance meets specifications and advise the Property Manager of any shortcomings.
- Work with contractors to obtain quality performance.
- Conduct regularly scheduled safety meetings with all staff.
- Maintain thorough knowledge of relevant laws and EPA/OSHA regulations governing hazardous materials storage and management.
- Be aware of property conditions throughout the community and immediately correct unsafe situations.
- Promote and implement safety and security measures to reduce owner liability and increase resident/employee awareness and protection.
- High school diploma/GED required.
- At least 3–5 years of experience as a Maintenance Technician, preferably in residential property management.
- At least 1–3 years of experience as a Maintenance Supervisor.
- Required certification: CFC Type 2 or Universal.
- Ability to perform plumbing, electrical, HVAC repairs, carpentry, locksmithing, painting, drywall repair, and snow removal.
- Availability to handle on‑call emergency services as needed.
- Reliable personal transportation to respond to on‑call emergencies.
