Scope of Role

The HR Generalist (Contractor) will play a key role in supporting human resources operations at a dynamic nonprofit organization. Reporting to the Director of Human Resources, this position will collaborate closely with the Talent Team to manage onboarding, offboarding, payroll support, benefits administration, compliance, and HR reporting for a multi-state workforce. This role requires strong attention to detail, the ability to manage multiple priorities, and experience working with Professional Employer Organizations (PEOs) and external HR vendors to ensure seamless operations and compliance.

Education

Bachelor’s degree required; advanced degree preferred or equivalent experience.

Location

Chicago Preferred.

Salary Range

$24-$28 hourly.

Qualifications
  • 3+ years of Human Resources experience, with a focus on HR operations, payroll support, benefits administration, compliance, and HR reporting.
  • Strong knowledge of multi-state regulations and compliance requirements a plus.
  • Experience working with Professional Employer Organization (PEO) and multiple external HR vendors.
  • Strong organizational and project management skills – must have strong attention to detail, with the ability to prioritize multiple tasks.
  • Strong interpersonal skills and communication skills (verbal and written), with the ability to work effectively across teams and stakeholders.
  • Proficiency in Microsoft Excel and HR analytics tools for reporting.
  • Ability to work independently and as part of a team.
Responsibilities
  • Human Resources Operations & Administration.
  • Oversee the new employee remote onboarding process from offer letter through the first 90 days for full-time employees and summer interns.
  • Conduct new hire benefits reviews and ensure timely enrollment.
  • Compile employee data for quarterly SOTN presentations to introduce new hires and celebrate work anniversaries.
  • Administrative duties as assigned.
  • Manage the employee offboarding process, ensuring completion of exit checklists, including COBRA information, benefits termination, final paycheck processing, unused vacation payout coordination, IT access closure, and credit card cancellation.
  • Administer bi-monthly payroll process and ensure accuracy and timely updates including closing out time and attendance, new hires, terminations, annual bonuses/merits.
  • Administer the emergency savings account and student debt program, ensuring proper enrollment and removal processes.
  • Generate ad hoc reports on turnover, payroll, diversity, recruitment, compensation, and employee headcount.
  • Maintain HR metrics for year-end audits, capacity planning, recruitment, benefits enrollment, and turnover analysis.
  • Collaborate with the Shared Services team and/or external consultants to refine talent performance metrics and reporting dashboards.
  • Proficiency in designing presentations.
  • Manage benefits enrollment, terminations, and qualifying life events (QLEs) year-round, in partnership with the PEO and benefits vendors.
  • Serve as the first point of contact for employee benefits-related inquiries.
  • Oversee leave administration in partnership with PEO provider, providing guidance on leave policies.
  • Maintain the sabbatical leave tracker and coordinate scheduling with eligible employees and leadership.
  • Serve as the administrator for the performance management system.
  • Assist with compiling talent management reports, including succession planning and analytics.
  • Support the coordination and execution of mid-year and year-end talent activities, including promotions, compensation adjustments, and performance calibrations.
  • Monitor and implement multi-state HR laws and regulations to ensure compliance.
  • Serve as the first point of contact for employees regarding HR policies, procedures, and concerns.
  • Partner with HR Leadership and PEO support specialists on compliance-related matters.
  • Manage non-discrimination testing, ACA compliance with 401(k) plan sponsors, Form 5500 filings, and SAR distributions with vendors.
