About the RoleReporting to the Manager of Government Affairs, the PAC Assistant provides administrative and operational support for ARI’s Political Action Committee (PAC) and related fundraising activities. This role works closely with ARI’s Government Affairs, Development, and Operations teams to ensure smooth PAC operations, maintain compliance with federal reporting requirements, and support the execution of ARI’s political fundraising strategy. This is a detail-oriented position that requires discretion, accuracy, and the ability to manage multiple priorities in a fast-paced environment.
Key ResponsibilitiesAs ARI and its PAC grow, this role may expand in scope and responsibility over time, based on organizational needs and individual performance.
Current responsibilities and expectations include, but are not limited to:
PAC Administration & Database Management- Support the daily administration of ARI’s PAC’s giving and events, including maintaining accurate databases and tracking systems.
- Process and record all outgoing PAC contributions and disbursements in compliance with FEC requirements.
- Organize and maintain records of all receipts, disbursements, and related documentation.
- Assist with the preparation of FEC reports and filings by compiling accurate and timely data.
- Track contribution limits, reporting deadlines, and compliance requirements.
- Coordinate leadership approval for PAC-related events and activities.
- Track PAC giving and monitor financial activity against monthly goals.
- Collaborate with the Development team in ensuring up-to-date knowledge of donor networks, PAC totals, and other relevant information for the successful operations, compliance, and administration of our PAC and PAC-related activities.
- Prepare regular PAC performance and stakeholder reports for leadership, ensuring accurate data and input from development.
- Own candidate disbursement processes and documentation.
- Support PAC spending and budget monitoring, and maintain records for audit purposes.
- Assist the government affairs and development teams with the coordination of PAC fundraising campaigns.
- Serve as the point of contact for candidate fundraising professionals, including reaching out to target candidates, scheduling fundraiser events, and coordinating event logistics.
- Collaborate with the Government Affairs, Development, Executive Leadership, and Operations in ensuring successful political giving campaigns.
- Assist with drafting background memos and summarizing political context, candidate information, and related research.
- Track relevant political developments and government affairs events related to PAC activity.
- Represent ARI at political or fundraising events as needed, with tact and discretion.
- At least 1 year of experience supporting PAC operations or political fundraising.
- 2+ years of professional experience, preferably in political, government affairs, or nonprofit environments.
- Exceptional attention to detail and strong organizational skills with demonstrated ability to manage complex record-keeping and database systems.
- Strong written and verbal communication skills.
- High level of discretion and sound judgment when handling sensitive political, financial, and stakeholder information.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
- Proficiency with database management systems and software.
- Interest in AI policy and emerging technology governance.
- Alignment with ARI’s mission and vision.
- Background in nonprofit operations, government affairs, or finance.
- Experience with budget management or financial reporting.
- Strong research and writing skills, particularly for political or policy contexts.
