* JOB PURPOSE:

** The Budgets & AR Compliance Manager supports the financial operations of Auxiliary Enterprises by coordinating annual budget development, monitoring spending, and ensuring accurate accounts receivable processing and compliance. This role assists with forecasting and financial reporting, maintains financial records and documentation, and collaborates with campus partners and vendors to support strong fiscal management and business operations across auxiliary units.
** SUPERVISORY AUTHORITY:
** May provide direction to support staff, student workers, or temporary personnel as assigned. Responsible for managing workload priorities, reviewing routine work outputs for accuracy, and supporting training related to budget and accounts receivable processes. Does not have full-time direct supervisory responsibility for permanent staff.
** NATURE AND SCOPE:
** Reports to the Director of Operations & Finance. Internal contacts include Auxiliary Enterprises leadership and staff, University Budget Office, Accounts Receivable, Procurement, and other financial and administrative units. The position interacts with departments across campus regarding billing, budget processes, and financial documentation. External contacts include vendor representatives and auditors in support of billing, reconciliation, and reporting requirements.
** PRINCIPAL

ACCOUNTABILITIES :
*** Coordinate annual budget development for Auxiliary Enterprises and assist units in preparing budget submissions and supporting documentation.
* Monitor department budgets throughout the year, prepare monthly budget-to-actual reports, and highlight variances for leadership review.
* Maintain accounts receivable tracking and ensure timely and accurate billing, posting, reconciliation, and follow-up on outstanding balances.
* Process journal entries, assist with month-end and year-end close activities, and support internal accounting requirements.
* Track and maintain financial records, reporting schedules, and documentation in alignment with University accounting policies and audit standards.
* Provide financial data, analysis, and supporting reports to leadership for planning and decision-making purposes.
* Support requisition submission, invoice routing, and financial workflow approvals to ensure proper expense control and documentation.
* Assist with internal and external audit requests, prepare supporting materials, and help implement process improvements to strengthen controls.
* Serve as a point of contact for departments and vendors regarding billing, receivables, and budget-related inquiries.
* Assist with system data entry, report creation, and spreadsheet management for budget, AR, and financial tracking functions.
* Perform other duties as assigned in support of budget monitoring, revenue tracking, and business operations across auxiliary units.
