Position Summary
The Finance manager is responsible for performing a variety of financial and administrative duties for all locations in our growing hospitality and winery company. This role will be instrumental in managing cash flow for different revenue streams, including daily client billing and payment tracking for events and sales data collection and reconciliation for the wine bar. Vendor management and payments, bank account reconciliation, month end closing, record maintenance, sales/excise tax reporting and payroll support are also key responsibilities.
Responsibilities:
- Create and maintain spreadsheets of daily sales transactions
- Reconcile online store transactions to payments received
- Oversee all bookkeeping functions for the Company using Quick Books Online accounting software including but not limited to:
- Maintain company data and chart of accounts
- New vendor creation, including COI and W9 collection and updates, and vendor invoice entering
- Vendor communications, including payment questions and statement reconciliation
- Weekly check cutting
- New customer creation and customer invoicing
- Sales tax reconciliation for in-state and out-of-state sales
- Daily transaction reconciliation from linked bank accounts and credit cards
- Monthly bank reconciliation
- End of month journal entries
- Oversee all aspects of event billing/payment tracking
- Send invoices to event clients through Triple Seat software platform and follow up on payment collection. Update client accounts and payment tracking.

- Process event gratuities and maintain tracking documents
- Monthly sales manager commission reporting
- Track and follow up on event deposit payments
Financial Operations, Reporting & Compliance
- Deposit checks and cash at local bank branch
- Create and file monthly sales tax reports and payments
- Identify and address account discrepancies
- Prepare reports and pull relevant data for ongoing company compliance
- Complete and submit new vendor credit applications pending approval of terms and conditions by Director of Finance
- Support Corporate Team with any reporting/data/analyses that are requested
Qualifications
- Excellent knowledge and substantial experience with Quick Books Online
- Advanced knowledge of MS Excel/Google Sheets (creating spreadsheets and charts and using financial Excel functions)
- Foundational knowledge of Generally Accepted Accounting Procedures (GAAP) and bookkeeping procedures
- BS degree in Finance, Accounting or Economics preferred as well as experience in the Hospitality Industry
- Proven work experience as a Finance Administrator, Finance Assistant or similar role
