Job Overview

Reporting to the Chief Operating Officer, the Director of Finance is responsible for the financial health and integrity of the organization and its affiliated 501(c)(3) and 501(c)(4) entities. This role provides strategic financial guidance, manages all day-to-day financial operations, and ensures compliance with all applicable regulations. This role will develop and implement organizational and departmental expenditure tracking methods, budgeting, forecasting and reporting, and will work closely with States United’s external financial partner to support accounting, audits and tax filings and requirements.

The Director of Finance will be a critical member of the operations teams and must be comfortable working strategically, while also being able to complete and manage daily and ongoing bookkeeping tasks.

Responsibilities
  • Perform all duties in accordance with States United’s values of integrity, inclusion, collaboration, innovation, and excellence.
  • Oversee all accounting functions including general ledger, accounts payable/receivable, payroll and cash flow management.
  • Prepare and present accurate and timely financial statements on a weekly, monthly, quarterly and annual basis in compliance with non-profit reporting requirements including reports to senior leadership and the Board of Directors.
  • Lead the annual budgeting process and develop financial forecasts. Monitor budget-to-actual performance, provide variance analysis, and work with department heads to manage their budgets effectively.
  • Ensure the organization is in full compliance with all local, state, and federal financial regulations, including specific IRS requirements for 501(c)(3) and 501(c)(4) entities.
  • Prepare for and manage the annual financial audit, working closely with external auditors to ensure a smooth process and a clean audit opinion.
  • Create and update tracking and reporting mechanisms for spending, grants management, fundraising, and funding needs.
  • Regularly provide budgetary forecasts, including calculating and analyzing budget variances, advising senior staff on cause, potential impact, and possible solutions.
  • Create a monthly reporting package that provides a clear picture of the organization's financial health and provides recommendations as necessary.
  • Collaborate with organizational leaders to develop, document, and implement policies and procedures for accounting methods and internal controls, including managing the distinct financial operations of both a charitable 501(c)(3) and a social welfare 501(c)(4).
  • Develop and maintain procedures for expense reporting, purchase of supplies and materials including approval and payment of such purchases.
  • Partner with the development team to ensure accuracy and co-understanding of revenue, and to provide all needed financial reporting for development needs; oversee reporting requirements for multiple funders, ensuring timely and accurate submission of financial reports.
  • Maintain up-to-date knowledge of all regulations and contract requirements with regard to financial matters.
  • Analyze financial strengths and opportunities for improvement and provide recommendations.
  • Provide assistance and backup for payroll as needed.
Minimum Requirements
  • Bachelor’s degree in accounting, finance, or a related field.
  • 10+ years of progressive experience in financial management, with significant experience in a non-profit setting including related experience in budgeting, forecasting, and expense tracking.
  • Finance experience in non-profit organizations/grants management, with experience in managing both 501(c)(3) and 501(c)(4) organizations.
  • Excellent analytical and problem-solving skills with the ability to think independently, take corrective action, and resolve inquiries and requests for information.
  • Ability to establish and maintain robust processes relied upon by senior management.
  • Strong technical proficiency in Quick Books Online, Microsoft Excel and Office Suite.
  • A strong grasp of Generally Accepted Accounting Principles (GAAP) for non-profits.
  • Excellent verbal and written communication skills with the ability to effectively present information and respond to questions from leaders and peers.
