Position Title: Special Education Case Manager

Reports To: Director of Student Support

Work Schedule: 12-month position, generally Monday through Friday 8:00 AM - 4:30 PM (attendance at some school events will be required outside of these hours)

About the Role

The Case Manager serves as a primary architect and steward of the Individualized Education Program (IEP) process for students with disabilities. This role works collaboratively with the Director of Student Support, educators, families, related service providers, and other stakeholders to develop, implement, monitor, and refine IEPs that are student-centered, data-driven, and aligned with state and federal regulations.

The Case Manager is responsible for coordinating all aspects of the IEP cycle, including scheduling and facilitating IEP meetings, writing comprehensive and compliant IEP documents, tracking timelines, and ensuring timely and effective delivery of services. This role also manages compliance monitoring systems and supports the systematic implementation of interventions, accommodations, and progress monitoring. The successful candidate will exercise strong organizational skills, sound judgment, and thoughtful communication while building strong partnerships with families and staff.

Key Responsibilities

IEP Development & Case Management

  • Serve as the primary author and manager of all Individualized Education Programs (IEPs) in the school, in collaboration with the Director of Student Support.
  • Develop concise, high-quality, compliant, and student-centered IEPs that reflect relevant data, teacher input, family perspectives, and student needs.
  • Ensure IEP goals, accommodations, modifications, and service minutes are clearly written, measurable, and aligned to student needs and instructional practice.
  • Maintain oversight of the entire student caseload, ensuring continuity and accuracy across the full IEP lifecycle.

IEP Intake, Review, and Transition Planning

  • Obtain, review, and analyze IEPs and evaluation records for all incoming students with disabilities in a timely manner.
  • Determine appropriate services and supports for newly enrolled students and ensure continuity of services upon enrollment.
  • Develop and implement comparable services plans when a finalized IEP is not immediately available, in accordance with IDEA requirements.
  • Collaborate with the Director of Student Support and relevant staff to determine how incoming IEPs align with the programs, services, and instructional model offered at IDEA Public Charter School.
  • Amend IEPs, as appropriate, to reflect the school’s program offerings while ensuring compliance and alignment with student needs.
  • Coordinate IEP amendment meetings and documentation with families and required team members.
  • Communicate clearly with families regarding any proposed changes, comparable services, or timelines related to IEP implementation.
