About the Role
The Lifestyle & Longevity Administrative Care Coordinator at Complete Concierge Care is a key front desk and administrative support role within our concierge medical practice. This position supports a physician-led concierge practice that integrates comprehensive primary care with evidence-based Lifestyle Medicine consultation. While the role is primarily administrative, the ideal candidate has a genuine interest in wellness, preventive medicine, and lifestyle-focused care, and enjoys supporting programs and initiatives related to health optimization and longevity.
This role is central to the day-to-day functioning of a lifestyle-focused primary care physician, combining administrative, patient coordination, and ongoing lifestyle medicine follow up for established patients. The ideal candidate is highly organized, patient-centered, and deeply aligned with the principles and personal practice of Lifestyle Medicine.
- Provide essential non-clinical support that enables the physician to focus on medical decision-making and patient care, including:
- Serve as the first point of contact for patients, providing a warm, professional concierge experience
- Answer phones, schedule appointments, and coordinate visits across providers and services including Lifestyle consultations, primary care visits, coaching sessions
- Support patient onboarding, intake forms, consents, and engagement with Lifestyle & Longevity programs
- Coordinate communication between patients, providers, and care team members regarding care plans and follow-ups
- Track participation in wellness and longevity services
- Provide administrative support including calendar management, prior authorizations, documentation, referrals, insurance, and prescription requests
- Maintain accurate patient records and support daily office operations
- Provide backup support to administrative and clinical staff as needed
- 2–3 years of experience in a healthcare, concierge, or wellness setting preferred
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Familiarity with plant based or plant forward nutrition, physical activity guidelines
- Comfort managing multiple priorities in a patient-facing role
- Interest in preventive medicine, wellness, and longevity care
- Familiarity with EMR systems (EPIC preferred) and Microsoft Outlook
- Professional, compassionate, and service-oriented demeanor
