JOB DESCRIPTIONG&A is looking for a motivated individual who strives for excellence in exhibit coordination. Our candidate would have experience in museum studies/public history (or related art/cultural experience), a background in writing, an interest in storytelling, and a passion to help our team of designers create world-class exhibits.
The primary role of an Exhibit Coordinator is to actively acquire content from clients and consultants and track it to aid the design process. Exhibit Coordinators are attentive to detail, highly organized, and very adept at communicating with clients and G&A teams in a professional manner. Exhibit Coordinators will work collaboratively with the entire G&A integrated team. Some travel may be required.
Key ResponsibilitiesDEVELOP & MAINTAIN GLOBAL DELIVERABLE DOCUMENTS
- Manage multiple complex exhibition projects simultaneously
- Coordinate receipt, organization, and manage client deliverables and assets for both the physical and media exhibits to G&A
- Create and maintain artifact and image schedules
- Create and maintain graphic panel schedule
- Create and maintain audiovisual and interactive schedule
- Create and maintain finish schedule
- Oversee the media matrix and tracking toolkits for the project
- Coordinate content outlines and exhibit scripts
- Copy edit as needed
- Become well-versed in the exhibit, including design and content (specific stories, artifacts, and images)
- Coordinate final artwork
- Coordinate cross-functional teams including designers, content specialists, fabricators, and additional subcontractors
- Work directly with exhibit designers and graphic designers to determine placement of exhibit elements as required
- Monitor contract deliverables related to script, images, and illustrations from client or consultants and notify project manager of status
- Track iterative feedback and notes on deliverables from clients, scholars, and key stakeholders
- Attend regular project meetings with design team
- Update revisions received from client in graphic and artifact schedules
- Work with design team to number floor plans and elevations
- Coordinate schedules into package deliverables and assist in reviewing all deliverables for errors and consistency
- Assist project team with meeting coordination and project deliverable coordination
- During the Construction Administration (CA) phase, manage all material samples, graphic proofs, and shop drawings (log, distribute, duplicate, and return as needed)
- Communicate regularly with client regarding project deliverables and deadlines
- Assist with final internal design package coordination
- Record meeting notes as required
- Image/film researching and licensing as necessary
- Research content for exhibits and graphics
- Assist content and design team to prioritize hierarchy of stories and themes
- Bachelor's degree in Museum Studies, Public History, or related field
- 2- 3 years of equivalent relevant experience or equivalent education
- Experience with accessibility standards and inclusive design practices
- Excellent organizational skills with meticulous attention to detail
- Outstanding written and verbal communication skills
- Understanding of exhibition design principles and visitor experience fundamentals
- Ability to travel up to 30% for site visits, installations, and client meetings
- Computer

Microsoft Office Suite, Google Suite, Database experience such as with Filemaker Pro, Slack
