OverviewThe Executive Administrative Lead plays a critical role in developing, implementing, and managing comprehensive communication strategies that support organizational objectives and enhance stakeholder engagement. This position requires a dynamic professional who can effectively bridge internal and external communications while supporting executive-level operations in a fast-paced IT environment.
Responsibilities- Strategic Communication & Outreach:
Plan, develop, and implement comprehensive outreach, communication, and marketing activities for both internal and external audiences - Strategic Communication & Outreach:
Design and execute targeted messaging campaigns to reach specific participant groups and broad population segments - Strategic Communication & Outreach:
Support rapid dissemination of critical information regarding operational impacts and service disruptions - Strategic Communication & Outreach:
Develop communication strategies that align with organizational goals and stakeholder needs - Stakeholder Engagement & Relationship Management:
Maintain continuous contact with customers and communities through diverse engagement formats including focus groups, site visitations, interviews, and other strategic communication methods - Stakeholder Engagement & Relationship Management:
Field and respond to inquiries from staff, clients, and customers via multiple channels (phone, email, chat, online portals) related to organizational programs and activities - Stakeholder Engagement & Relationship Management:
Build and sustain positive relationships with internal teams, external partners, and key stakeholders - Stakeholder Engagement & Relationship Management:
Serve as a liaison between executive leadership and various organizational constituencies - Data Analysis & Performance Measurement:
Capture, analyze, and interpret data collected through multiple communication channels to identify trends and support decision-making processes - Data Analysis & Performance Measurement:
Develop and implement methods to monitor and measure the effectiveness of products, services, and communication initiatives - Data Analysis & Performance Measurement:
Compile, track, report, and evaluate performance data to demonstrate program impact and ROI - Data Analysis & Performance Measurement:
Document and highlight achievements associated with service implementation and communication strategy execution - Administrative & Executive Support:
Coordinate and support meeting engagements, travel requirements, and special events - Administrative & Executive Support:
Develop and prepare formal presentation materials for customers, executive leadership, and staff - Administrative & Executive Support:
Manage routing of documents and communications through appropriate organizational channels - Administrative & Executive Support:
Process and coordinate reporting requirements and administrative documentation - Administrative & Executive Support:
Provide executive-level administrative support including calendar management and logistics coordination
Minimum Qualifications:
- Bachelor's degree in Communications, Business Administration, Information Technology, or related field
- Demonstrated proficiency with Microsoft productivity suite (Word, PowerPoint, Excel, SharePoint)
- Strong written and verbal communication skills with ability to communicate effectively across all organizational levels
- Proven experience developing and supporting communication programs within an IT department or similar technical environment
- General understanding of software development life cycle principles and IT operations
- Ability to excel in fast-paced, team-oriented environments while managing multiple priorities
- Demonstrated ability to multitask effectively and consistently meet tight deadlines
