About the Role

The Executive Assistant to the CEO provides administrative, organizational, and project management support to the CEO. This role requires exceptional judgment, discretion, a detail-orientation, excellent communication, and follow-through, as well as the ability to manage multiple priorities in a fast-paced environment.

The Executive Assistant proactively supports the CEO with processing, organizing, and managing information, workflows, and deliverables. The EA should be able to anticipate needs, track commitments, and ensure timely execution across the organization. An important part of the role is to manage the organization’s compliance – identifying and organizing the tasks, providing regular updates to the CEO, procuring compliance-related work from other people, and ensuring that the organization remains in full compliance with all external regulations.

This individual plays a critical role in advancing organizational initiatives by managing work through clear systems and processes that ensure deadlines are met and deliverables are executed. By overseeing workflows, tracking deliverables, and coordinating compliance and reporting requirements, the Executive Assistant creates the operational capacity that allows the CEO to remain focused on the organization’s highest-impact strategic priorities while ensuring the broader work of the organization continues to move forward efficiently and effectively.

Key Responsibilities Information Processing
  • Manage and organize the CEO’s email inbox to identify high-impact, time-sensitive, and strategic communications.
  • Draft concise summaries of emails, reports, documents, and other materials to support efficient review and action by the CEO.
  • Synthesize complex or lengthy information into clear, actionable briefs highlighting key issues, deadlines, and recommended next steps.
  • Prepare draft responses, communications, or follow-up notes at the direction of the CEO.
  • Develop and maintain systems for organizing information, correspondence, and reference materials to ensure easy retrieval and continuity.
Deliverable Tracking & Follow-Through
  • Develop and maintain a system to track requests, action items, and deliverables from the CEO and the CEO’s direct reports.
  • Monitor progress on key initiatives and follow up to ensure work moves forward on time and to standard.
  • Develop and maintain systems (e.g., trackers, calendars, dashboards) that provide visibility into deadlines, responsibilities, and status.
  • Ensure timely preparation and submission of reports, materials, and deliverables as required.
Compliance Management
  • Identify, organize, and maintain a comprehensive calendar and tracking system for all organizational compliance requirements.
  • Coordinate with internal staff to procure compliance-related documentation, reports, and submissions.
  • Monitor deadlines and requirements to ensure full and timely compliance with all applicable external regulations.
  • Provide regular status updates to the CEO on compliance progress, risks, and upcoming requirements.
Communication & Professional Discretion
  • Exercise a high level of discretion and professionalism in handling sensitive and confidential information.
  • Communicate clearly and effectively with internal stakeholders on behalf of the CEO when appropriate.
  • Serve as a reliable point of coordination to ensure clarity, alignment, and follow-through on CEO-directed initiatives.
Executive Support & Workflow Management
  • Complete tasks and special projects at the direction of the CEO that increase capacity for strategic leadership.
  • Support cross-functional coordination by ensuring information flows clearly and work is sequenced effectively.

Qualifications
  • Bachelor’s degree or combination of a high school diploma and experience.
  • 3+ years of experience in an executive support, operations, project management, or comparable role requiring high levels of discretion and organization.
