The Office Manager is responsible for the efficient operation of the business office, ensuring all administrative, operational, financial, and customer service duties are performed accurately and professionally. This position requires a high degree of organization, strong communication skills, and a welcoming presence to foster a positive environment.

Business Operations
  • Manage customer billing, invoicing, deposits, and payment processing for service and sales-related transactions in coordination with the Service Manager.
  • Collaborate closely with an outsourced accounting firm to manage day-to-day accounting tasks, ensure timely and accurate reporting, and resolve discrepancies.
  • Serve as the administrative liaison between sales, service, operations, and ownership to ensure alignment and timely information flow.
  • Monitors policies & procedures for office activities such as filing, facilities maintenance, ordering of supplies and mail distribution.
  • Prepare purchase orders, routine documents, and other forms of communications.
  • Offers support in various areas within the company including Business Office, Title Clerk, Parts & Service, and Sales departments.
  • Maintain the security of the property by controlling access and following established procedures.
  • Maintain open communications with all regional staff.
  • Work closely with leadership to develop an integral team that effectively represents the quality and professionalism of the company.
  • Perform additional duties as assigned by management.
Administration Support
  • Provide high-level administrative support to the Owner, managing daily priorities, schedules, communications, and ad-hoc requests while also supporting the broader team with operational needs.
  • Serve as a central support resource for employees and leadership, ensuring smooth day-to-day administrative and people-related operations.
  • Act as a trusted point of contact for employee questions, providing guidance, follow-up, and escalation as appropriate.
  • Assist with new hire onboarding duties including pre-employment screens, assisting employees with various questions or concerns and directing them to the appropriate HR contact.
  • Manage end-to-end payroll processing using ADP, ensuring accurate and timely payrolls.
  • Maintain and update employee records in ADP, including new hires, terminations, compensation changes, deductions, and garnishments.
Client Satisfaction
  • Welcome all customers, vendors, and guests, providing a warm and professional first point of contact.
  • Serve as a resource for current and prospective members, providing information and resolving questions or complaints.
Qualifications
  • Bachelor’s degree in business management, business administration, communications, or any other related field highly preferred.
  • 5+ years of experience in an office administrative or management role, with strong proficiency in Microsoft Office (Word, Excel).
  • Leverages systems and software solutions to design, implement, and continuously improve efficient, scalable operational processes.
  • Demonstrates strong intellectual curiosity, sound judgment, and the ability to quickly grasp complex business concepts.
  • Exhibits high level of professionalism, polish, and emotional intelligence in all interactions with leadership, colleagues, and clients.
  • Leads by example, modeling company values and contributing to a respectful, high-performing workplace culture.
  • Strong organizational and time management skills, with the ability to manage multiple priorities effectively in a fast-paced environment.
  • Dependable, punctual, and able to work independently or as part of a team.
