Overview

General Services Officer (GSO) Support Services Assistant serves in the Bureau of East Asian and Pacific Affairs (EAP) and provides general administrative support including travel, special events, inventory management, and critical office program management. This position requires an active Secret clearance.

Responsibilities
  • Serve as the Support Services Assistant in the East Asian and Pacific Affairs (EAP) bureau with a high level of organization, resourcefulness, tact, and customer service/interpersonal skills.
  • Provide general GSO and administrative support, supporting EAP’s 230 domestic users.
  • Review, verify, and track purchase cards and checkbook expense reports on a monthly basis; reconcile with the budget team and GSO; match Purchase Requests (PRs) with bank statements; reconcile details such as amount, office, date, items procured, and card used.
  • Create a monthly log of all invoices/receipts from vendors with PRs, quotes, and authorized signatures for each transaction.
  • Oversee special events for the EAP Bureau and the Department, including events with senior White House officials, interagency members, and foreign dignitaries.
  • Manage the Parking Pass Program and Art Bank Program for the entire EAP Bureau, exercising discretion in the approval process to ensure timely processing.
  • Manage the bureau’s passport/visa courier service program; independently coordinate with local embassies and prepare and review visa documentation for approval, including for senior Bureau officials.
  • Authorize travel vouchers and travel authorizations for all EAP employees; approve or reject requests using expertise and programmatic knowledge.
  • SharePoint site management/training: edit/update requests, create/update PowerPoint guides, conduct training, create weekly GSO report from SharePoint, and distribute for follow-up action.
  • Create standard operating procedures related to office administration.
  • Support office furniture moves, including ordering new furniture and ergonomic requests; coordinate with HR to ensure offices meet compliance requirements and develop solutions to issues.
  • Serve as principal escort for executive members, foreign dignitaries, and the interagency; safeguard sensitive and classified information during external visitations.
  • Order expendable supplies from mandatory sources and verify compliance with Federal and Department of State acquisition guidelines.
  • Manage the Duty Officer Program; assign responsibilities and dates to the duty team; coordinate with country desks and subject matter experts to engage stakeholders.
  • Support other duties as assigned by Lead Support Services Specialist and manage own workload independently.
  • Performs other job-related duties as assigned.
Experience, Education, Skills, Abilities
  • High school diploma or GED; bachelor’s degree preferred.
  • 6 to 9 years of administrative support experience.
  • At least 1 year of experience directly related to the duties and responsibilities specified.
  • Ability to manage multiple tasks, coordinate activities, and work well in a multi-cultural team environment.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to work independently to assess priorities and manage daily coordination of details.
  • Ability to respond to challenges quickly with appropriate discretion and comfort with ambiguous situations requiring independent decision making and execution.
  • Experience and proficiency in Department of State software and systems preferred but not required.
  • Basic computer skills (Microsoft Office suite).
  • Must pass pre-employment qualifications of Cherokee Federal.
Compensation & Benefits

Starting Salary Range for General Services Officer (GSO) Support Services Assistant: $85,000.00 - $90,000.00 Per Year. Full-time benefits include Medical, Dental, Vision, 401K and other possible benefits as provided. Benefits are subject to change with or without notice.
