Office Administrator/ Coordinator, Admin Assistant
Taft is seeking a Receptionist/Legal Assistant to join our team in our Washington, DC Capitol Hill Office.
This is a full‑time, in‑office position, Monday through Friday 8:30 a.m. – 5:00 p.m. All Taft employees operate under a "Client First" philosophy in all things, and we seek to provide exceptional services to our clients. This is an entry‑level position.
Responsibilities- Professionally answer and direct all incoming calls
- Coordinate suite access for visitors and in‑office staff
- Work with the Director of Operations for all on‑site facility needs
- Work with property management in relation to office and building needs
- Assign and manage visitor offices
- Work with the Receptionist at Dupont Circle office to maintain offices to a similar standard
- Greet clients in a professional and hospitable manner
- Assist attorneys and public affairs staff with the production of documentation, time entry, expenses and other administrative tasks as necessary
- Coordinate and process incoming and outgoing mail and deliveries, and route within the office
- Assist with set‑up and coordination of on‑site events
- Be responsible for general upkeep of reception, conference rooms and office as a whole
- Maintain conference room scheduler
- Coordinate in‑office meetings (i.e., catering arrangements, audio‑visual set‑up, and/or conference call scheduling)
- Assist with conference room set‑up and break‑down, including upkeep of catering kitchen and areas
- Other projects and assignments as directed
- Minimum of 3 years’ experience as a secretary or administrative assistant supporting multiple professionals
- Experience in a law firm, public policy or lobbying environment is a plus
- Bachelor’s degree preferred, or any combination of education, training and experience that demonstrates the ability to perform the duties of the position
- Strong organizational skills
- Detail oriented with the ability to multi‑task
- Demonstrated proficiency using Microsoft Outlook, Word, Excel and PowerPoint, experience with iManage is a plus
- Excellent verbal and written communication skills with the ability to always communicate professionally
- Able to work overtime if needed
Taft offers competitive compensation and a comprehensive benefits package, including medical, dental, vision, life, long‑term disability, flexible spending, 401(k), paid time off, paid holidays, bonus and more. The salary range for this position is $50,000/yr. – $67,000/yr. Actual compensation offer to candidate may vary from posted information based on work experience, education, and/or skill level.
