As we continue to expand, we are seeking a dynamic Executive Assistant to work in close collaboration with the CEO/Owner to provide high-level administrative support, drive operational efficiency, and help execute strategic priorities across the organization.

Job Summary:

The Executive Assistant is responsible for all aspects of managing the Owner/CEO's administrative needs and goals. This is a C-Suite support position, assisting the Owner/CEO with both business and personal tasks/projects. The Executive Assistant position requires a versatile, detail-oriented candidate with a can-do attitude. This role requires experience with executive administration such as calendar & schedule management, communication, travel coordination, meeting & event planning, administrative support, and project & business support.

This position works closely with other members of the corporate team to ensure operational efficiency and success.

Key Responsibilities:
  • Calendar & Schedule Management
    • Schedule, book, and confirm all professional and personal meetings and calls
    • Manage daily, weekly and long-term calendars
    • Communicate with partners regarding conflicts and propose solutions
    • Confirm meeting collateral needs and prepare the required documents for review
    • Confirm meeting room availability and schedule
  • Communication
    • Manage all email communications for the CEO/Owner
    • Work closely with the Director of Project Management to ensure operational goals and strategic initiatives stay on target
    • Streamline communications between CEO/Owner and corporate team members
    • Maintain evolving prioritization list and communicate changes to collaborators
    • Maintain email organization and ensure priority communications receive a timely response
    • Maintain confidential and sensitive information, and ensure both business and personal items, are handled with the utmost care and discretion
  • Travel Coordination
    • Arrange and confirm flights, hotels, transportation & itineraries
    • Ensure all financial documentation is submitted to accounting
    • Confirm and coordinate travel needs for members of the corporate team attending out-of-town meetings
  • Meeting & Event Planning
    • Organize logistics, booking rooms, and catering for all meetings and events
    • Take minutes as needed
    • Provide meeting summaries to necessary parties, including email summaries and scheduling follow-up
  • Administrative Support
    • Track all invoices, and receipts for all purchases made by the Owner/CEO
    • Managed shared Google Drives and maintain document organization and security
    • Manage incoming mail & equipment deliveries
    • Manage office supply ordering and office organization
  • Project and Business Support
    • Track project completion and manage meeting cadence
    • Follow up with strategic partners regarding expected communications
    • Stay abreast of industry trends, highlighting potential operational efficiencies
    • Support a positive, empowered work environment consistent with company values
Qualifications:
  • Minimum of 5 years' relevant experience managing administration for a C-Suite executive
  • Strong ability to collaborate with multiple teams and departments
  • Excellent attention to detail
  • Excellent organizational and planning skills
  • Strong creative problem-solving skills and adaptability
  • Excellent time-management skills and an ability to organize and coordinate multiple concurrent projects
  • Experience with office productivity tools such as Notion
  • Proficient with Google Suite (Gmail, Google Sheets, Google Drive) and the ability to learn other cloud-based programs
  • A passion for following direction and the ability to give and receive constructive feedback
  • Effective written and oral communication skills
  • Ability to maintain confidentiality of information, always
  • Availability to occasionally assist with urgent or high-priority matters outside of normal business hours
  • Must be able to regularly commute to Downtown Washington DC
Preferred

Skills:
  • Hospitality industry experience
  • Experience with graphic design software, such as Canva
  • Forward thinking with a passion for innovation
  • Comfortable with technology and a desire to learn new platforms
