The Executive Assistant provides administrative and executive support to the President and CEO and the Chief of Staff. The position involves handling confidential information which requires discretion, diplomacy, and a high level of professionalism.
ESSENTIAL DUTIES and RESPONSIBILITIES:- Provide high-level administrative support to the President & CEO and Chief of Staff.
- Manage and prioritize the CEO’s calendar, coordinating meetings with internal and external stakeholders to ensure efficient scheduling and conflict-free time management.
- Prepare comprehensive meeting materials, including the 5 Ws (Who, What, When, Where, Why) and supplemental documents, enabling the CEO to make informed, strategic decisions.
- Screen phone calls, handle routine inquiries, and determine routing based on priority.
- Read and process daily mail, copies, and reports.
- Compose internal and external correspondence; assist executives with presentation materials.
- Help with drafting and editing letters and recommendation requests on behalf of executives.
- Collect updates from Executive Directors and draft the CEO’s weekly staff email summarizing the past week’s events.
- Create and maintain organized filing systems and records.
- Bachelor’s degree.
- 5 years of experience supporting at the executive level.

- Ability to prioritize and meet deadlines.
- Ability to communicate effectively in written and oral form.
- Skills in decision-making and problem-solving.
- Ability to interact with staff (at all levels) under pressure.
- Skill in the use of computers, preferably in a PC, Windows-based operating environment.
