Summary

The Management Analyst position is located in the Administrative Office of the U.S. Courts (AO), Department of Administrative Services (DAS). DAS provides a broad range of services to support the Judiciary, including human resources, budget and financial management, facilities and security, and acquisition management services.

The Administrative Office of the U.S. Courts, Department of Administrative Services (DAS), Office of the Associate Director (AD) is seeking an experienced Management Analyst to join its team. The DAS AD's office is responsible for the strategic planning, coordination, and program assessment of DAS; providing policy and Judicial Conference committee support and coordination; and managing the department level budget and human resources.

This position reports to the Associate Director in the DAS.

The Management Analyst provides a wide range of administrative and operational support to the AD, the Chief of Staff (COS), and the AD office team. The incumbent moves quickly with the changing environment, manages multiple priorities, and is committed to regularly acquiring new skills and knowledge to strategically support the office's processes, projects, programs, events, and initiatives.

The ideal candidate is deeply organized, thinks in workflows and logic, proactively identifies and addresses inefficiencies and works effectively under pressure, and is able to work both independently and collaboratively in a team setting.

The duties of the position include, but are not limited to:
  • Providing a full range of high-level, confidential, administrative, and executive support to the AD, COS, and AD's office staff.
  • Managing confidential and executive correspondence, documents, reports, and other materials submitted to the Associate Director for review and approval, including tracking, reviewing, and processing correspondence, documents, and reports to ensure final materials are accurate, complete, and compliant with AO guidelines.
  • Managing the AD's calendar, including scheduling meetings, preparing and compiling meeting materials, and developing and maintaining long-term calendar planning.
  • Monitoring incoming mail, email, and phone calls, and routing inquiries to the appropriate staff or AO offices for further action.
  • Serving as a liaison between the AD and other AO executives and staff and assisting the AD by promoting communication and information sharing while safeguarding confidentiality and exercising discretion.
  • Coordinating the development and update of talking points, briefing notes, and other materials for presentations at meetings and conferences.
  • Making travel arrangements for the AD, COS, and other AD office staff, including developing detailed travel itineraries, compiling materials for travel-related meetings, and completing travel authorizations and expense reports.
  • Developing, in coordination with the AD office team and others, office protocols and procedures and developing and maintaining an AD office procedures manual.
  • Managing the AD office's purchase cards, keeping appropriate records of obligations, requisitions, reconciliations, purchases, and payments; and reviewing and processing monthly invoices.
  • Developing and maintaining financial tracking mechanisms to track spending, obligations, services requested, expenses, etc.
  • Planning and providing logistical supports for meetings, training, and other AD's sponsored events.
  • Developing and maintaining information for the DAS SharePoint online site.
  • Monitoring, maintaining, and ordering office furniture, equipment, and supplies, and serving as the AD's office move coordinator.
