What You Will DoGuidehouse is hiring an Office Management Specialist (OMS) to join one of our Department of State teams to ensure efficiency and seamless support across administrative, travel, and logistical functions. This individual must be a self-starter, able to multi-task and prioritize competing assignments. This role is ideal for a proactive, detail-oriented professional who thrives in a dynamic environment and can juggle multiple priorities with precision.
From managing time and attendance, coordinating complex travel arrangements, and maintaining office systems to supporting onboarding, security clearances, and special projects, you will play a critical role in keeping the office running smoothly. Responsibilities may include but not limited to:
- Assist staff with travel-related tasks.
- Track time and leave for staff and assist with timekeeping.
- Support visitor arrival.
- Coordinate with facilities management to maintain office and conference rooms; escort cleaning and maintenance staff.
- Maintain file documentation and storage per Department policy (Foreign Affairs Manual).
- Scan, fax, and shred correspondence as appropriate.
- Ensure continuous operation of office equipment (printers, fax, copier).
- Prepare office correspondence and obtain proper approvals.
- Assist with security clearances, building passes, and onboarding of new or transferring personnel.
- Maintain organizational charts, phone lists, desk locations, and IT asset records.
- Assist with setup for office-wide meetings and monthly learning events.
- Carry out special projects as directed.
- An ACTIVE and MAINTAINED "SECRET" Federal or DoD security clearance.
- Bachelor’s degree
- THREE (3) years professional experience including ONE (1) year of experience in an administrative role with the federal government
- Experience working with the Department of State.
- Able to work independently.
- Strong research and organization skills.
- Strong interpersonal skills.
- Excellent oral and written communication skills.
- Able to handle multiple tasks simultaneously.
- Must be able to quickly learn how to use proprietary applications and systems for processing administrative requirements such as travel, time and attendance, and procurement.
The annual salary range for this position is $98,000.00-$. Compensation decisions depend on a wide range of factors, including but not limited to skill sets, experience and training, security clearances, licensure and certifications, and other business and organizational needs.
