Senior Executive Assistant
Ardent Eagle Solutions invites applications for the Senior Executive Assistant role. This position supports senior executive staff within the National Telecommunications and Information Administration (NTIA) at the U.S. Department of Commerce.
BackgroundThe National Telecommunications and Information Administration (NTIA), located within the Department of Commerce, is the Executive Branch agency that is principally responsible by law for advising the President on telecommunications and information policy issues. NTIA’s programs focus on expanding broadband access, spectrum use, and ensuring the Internet remains an engine for innovation and economic growth.
Responsibilities- Perform sensitive and highly visible administrative functions for a single federal senior executive and possibly his/her immediate senior staff.
- Handle confidential activities requiring comprehensive knowledge of organizational policies.
- Oversee the executive’s schedule, manage calendars, appointments, meetings, and end‑to‑end travel.
- Manage and facilitate all forms of correspondence, acting as the primary point of contact.
- Draft, review, and edit executive correspondence and prepare reports, ensuring high verbal and written communication standards.
- Track action items, dependencies, and follow‑ups across multiple divisions and proactively manage risks.
- Prepare, format, and convert high‑volume documents using Adobe Acrobat Pro and Microsoft Office Suite with minimal supervision.
- Operate general office equipment.
- Support ad‑hoc administrative and facilities‑related needs within the executive suite.
- Monitor meeting logistics, attendance, and follow‑up actions, including hybrid and multi‑stakeholder meetings.
- Maintain discretion with sensitive information in accordance with confidentiality requirements.
- Administer specialized programs within the executive’s purview and act on behalf of the executive when authorized.
- Perform other administrative duties/tasks as required.
- Demonstrated ability to perform effectively in a new position with minimal ramp‑up on tools (e.g., Adobe, MS Office Suite).
- Proven experience supporting senior executives in high‑pressure environments with competing priorities.
- High tolerance for ambiguity, shifting priorities, and overlapping responsibilities.
- Strong professional judgment regarding discretion, executive communications, and record sensitivity.
- Thrives in fast‑paced, detail‑driven environments with immediate and evolving expectations.
- Comfortable receiving direct, candid feedback and adjusting execution rapidly.
- Highly self‑directed learner who proactively develops technical and administrative skills.
- Maintains composure, precision, and professionalism under sustained executive pressure.
Approximately eight or more years of demonstrated experience providing executive‑level administrative support, including calendar management, travel management, correspondence drafting, and document reviews. Prior experience supporting federal political appointees and/or members of the Senior Executive Service is a must.
Work Location- On‑site at the U.S. Department of Commerce Headquarters, Herbert
C. Hoover Building (HCHB), Washington, D.C. - No regularly scheduled telework; very limited situational telework available.
Monday through Friday during normal business hours, except Federal holidays or when the Government facility is closed due to local or national emergencies or administrative closings. The Executive Assistant must have flexibility to adjust her/his schedule to accommodate the supported Executive’s schedule and needs.
EducationBachelor’s degree, preferably in Business Administration, Communications, or a related field. An additional four years of highly relevant work experience may be considered in lieu of a bachelor’s degree.
