Third Way is seeking an Executive Coordinator to support the Head of Business Operations and the work of the Biz Ops team, the group that manages the systems, policies, and day-to-day operations that keep Third Way running efficiently. This role provides helps to ensure the organization’s internal operations are coordinated, clear, and consistently executed by providing administrative, logistical, and project support across a wide range of operational priorities.
The Executive Coordinator will primarily support the Head of Business Operations, with occasional coordination support for wider Business Operations needs. This position is ideal for someone who enjoys organizing complexity, keeping things moving, and improving systems and processes behind the scenes.
As the Executive Coordinator, a typical day might include…Manage internal and external scheduling, calendar logistics, and meeting preparation for the Head of Business Operations;
Coordinate cross-departmental meetings involving HR, Office Operations, Finance, IT, and Learning & Organizational Development, ensuring agendas, materials, and notes are prepared and follow-ups tracked to completion;
Arrange travel logistics, reservations, and reimbursements, and assist with expense reports, credit card coding, and labor tracking;
Support organizational projects, such as policy rollouts, retreats, audits, and onboarding initiatives — by managing logistics, documentation, and timelines;
Draft and proofread internal communications, memos, and procedural documents to support clarity and consistency across Biz Ops;
Support event planning and coordination for all-staff meetings, Biz Ops sessions, and professional development gatherings;
Use and maintain various tools and systems that enable operational excellence — including AI note-taking tools, , Mailchimp, Miro, Salesforce, SharePoint, and Microsoft 365;
Handle sensitive operational and personnel information with discretion, sound judgment, and professionalism;
Assist with data organization and reporting by capturing, formatting, and routing information gathered from meetings or systems into shared tools;
Perform other administrative and operational duties as assigned to support the efficiency, organization, and communication flow of the Business Operations team.

Salary Range: $50,000 - $60,000 annuallyAt Third Way, we are committed to non-discrimination and fair pay practices. The final starting salary offer will be determined based on your experience and qualifications.
