Job Description:
The Facilities Specialist will be responsible for overseeing daily operations in the Washington, DC office, ensuring the space is running efficiently, cleanly, and professionally. This role blends office management, facilities coordination, and administrative support. The ideal candidate is proactive, organized, personable, and takes initiative without needing to be asked. They thrive on ownership and will approach the space as if it were their own.
Key Responsibilities:
- Act as primary point of contact for office operations, facilities, and vendor relations
- Manage office supplies, pantry restocks, PPE, and special order requests
- Coordinate logistics for on-site meetings, events, catering, and janitorial services
- Process invoices, expense reports, and maintain proper coding
- Perform regular walkthroughs to ensure office tidiness and identify maintenance needs
- Support office moves, space planning, and hoteling setup using Serraview (if experienced)
- Provide onboarding tours and workspace arrangements for new hires
- Conduct basic health & safety checks, including equipment inspections
- Administer office and building security card access
- Maintain accurate occupancy and seating databases
- Liaise with internal teams (IT, HR, Marketing) and building management
- Contribute to sustainability efforts and suggest operational improvements
Qualifications:
- 2–3 years of experience in office/facilities management or related field
- Excellent organizational and multitasking skills
- Strong communication and interpersonal abilities
- High level of ownership and accountability
- Tech-savvy with proficiency in Microsoft Office Suite (Outlook, Teams, Excel, PPT, Word)
- Experience with Concur and Serraview a plus, but not required
- Positive, outgoing attitude with a “no task too small” mindset
- Ability to work independently and solve problems proactively
- Education not required
