One Federal Solution is seeking a highly organized and motivated Staff Assistant to provide exceptional administrative and operational support to senior-level Department of State officials in the Washington, DC area. The ideal candidate will hold an active Secret clearance and excel in a fast-paced, mission-driven environment. The Staff Assistant will read, review, and analyze incoming correspondence, memos, reports, and submissions to determine significance and ensure timely distribution.

The position also includes performing a wide range of administrative duties and additional tasks as assigned by the immediate Government manager. This role requires strong communication skills, attention to detail, and the ability to support high-level leadership with professionalism and discretion.

Secret Clearance Required Staff Assistant Task and Duties
  • Provide dedicated support to senior‑level Department of State officials and perform administrative duties.
  • Acknowledge and adhere to all standards for conduct, internal controls, the Privacy Act, and the protection and safeguarding of all Personally Identifiable Information (PII).
  • Manage and schedule meetings and appointments, and coordinate executive communications, including taking calls, responding to emails, and interfacing with internal and external customers.
  • Prepare internal and external documents in accordance with CA and Department of State writing standards.
  • Read and analyze incoming correspondence, memos, submissions, and reports to determine their significance and plan their distribution.
  • Prepare managers for appointments by briefing them on the context and background data.
  • Record minutes from meetings.
  • Monitor internal tasks, deadlines, and deliverables.
  • Maintain an organized filing system for paper and electronic documents in accordance with the Department of State record retention policy.
  • Prepare internal and external documents using a variety of office software, specifically Microsoft Word, PowerPoint, Publisher, Excel, and SharePoint.
  • Make travel arrangements using the online Travel Manager System (E2) in accordance with the Department of State travel policy as outlined in the FAM/FAH; coordinate logistics for Government travel: book tickets, hotels, and rental vehicles, estimate per diem, and process travel vouchers upon return.
  • Serve as liaison between the supervisor and staff members to apprise them of commitments and changes in office procedures and correspondence requirements.
  • Set up conference calls and coordinate with IT personnel for conferences and rooms that require IT support.
  • Perform other appropriate tasks, assignments, and duties as required and assigned by their immediate Government manager.

Education and Experience Required
  • Bachelor's Degree and three to five years of proven experience in administrative or management support.
  • Proficient in Microsoft Office software (SharePoint, Excel, Word, PowerPoint, Teams, Access, etc.).
  • Excellent organizational, communication, and writing skills to include timely and accurate responses to customers' and colleagues' needs and citing policy and procedures when applicable.
  • Excellent customer service skills, including customer needs assessments, meeting quality standards for services, and proactive and ongoing evaluation of customer satisfaction.
  • Ability to interact effectively with others, in particular colleagues and personnel from senior executive to working level.
  • Ability to multi‑task, triage, and re‑prioritize as needed.
  • Demonstrated proactive approach to problem‑solving and decision‑making.
  • Demonstrated multi‑tasking abilities to achieve performance goals and meet changing deadlines in a fast‑paced and dynamic environment.
  • Highly resourceful team‑player and demonstrated ability to work independently (i.e., self‑starter).
  • Proactive big‑picture thinker who seeks opportunities for improvements and proposes sound and logical solutions.
  • Ability to plan, draft, create, schedule, and/or implement projects and studies to completion to evaluate and recommend ways to improve the effectiveness and efficiency of work operations in a program or support setting.
