Location: Warwickshire
Purchasing Coordinator - Permanent / Full-time - Up to £29,000 + standard company benefits + Overtime where required - Coleshill (5 days a week on site)
Telecommunications / Logistics / Procurement / Customer Service
Key skills / responsibilities:
* Monitor stock levels and place orders for product when prompted - POs for third-party transport will need to be checked and raised.
* Ensure stock is ordered correctly, avoiding shortages and surplus.
* To support the Bid and Tender Manager in providing onsite product support.
* Support the Finance Team with any queries that would delay the payment process to ensure relationships with key suppliers are maintained and supply of products/services remains uninterrupted.
* Proactively identify and implement improvements to processes, systems, and ways of working.
* Provide support to colleagues during busy periods or absences to ensure continuity of service.
* Ensure information is given within the customer’s timeframe and that all sourcing options are explored thoroughly.
* Ensure all enquiries, quotations, orders, and complaints are processed within 24 hours of receipt and prioritised where necessary.
* Provide first class service and maintain a high level of professionalism at all times whilst keeping the customer/supplier fully informed.
* Proactively seek new suppliers where it makes sense to do so or where we are supplying customer/project critical product.
* Monitor and expedite lead times ensuring internal systems are accurately and efficiently updated, escalating where required
* Accurate filing of documentation such as Order Acknowledgements.
* To assist with external audits.
* To support with pricing, lead times and any relevant information related to new enquiries including Tenders and RFPs/RFQs.
* Build in contingency and dual source options if required to minimise risk
* Assist the supplier approval process to ensure consistency in delivery and quality.
* To maintain key supplier records, insurance and other role associated documentation ensuring we remain ISO compliant.
* Assist the Bid and Tender Manager in monitoring and auditing supplier performance.
* Maintain the Purchasing monthly dashboard.
* To conduct any ad hoc duties as required by the Bid and Tender Manager to ensure the department achieves its goals
* Compliance to H&S/Quality regulations and procedures to ensure the safety of all site personnel.
* Maximise carriage savings whilst reducing carbon footprint.
* Report all hazards immediately to your manager.
* Report all accidents and near misses using iAuditor and ensure that all defects and unsafe conditions are promptly reported and rectified
