Ward Clerk - Victoria Ward

Victoria Ward is a 21‑bed ward for general medical, frailty, dementia, and palliative patients. Our vision is to deliver outstanding care to patients on the ward and to provide personalised, holistic care during their stay with us.

The position is for 10 hours per week, with five hours on Monday and five hours on Friday. These days are not negotiable, but the working times within the days are flexible (e.g., you could work school hours).

We are looking to appoint a self‑motivated, enthusiastic person who can work as part of our busy unit. You will be part of the multi‑disciplinary team and have the ability to work flexibly with good organisational skills that enable you to work on your own initiative to tight deadlines, thus contributing to the smooth running of the department.

Responsibilities
  • Answering any telephone enquiries in a polite and efficient manner.
  • Reception duties and answering calls, checking patient’s details, maintaining ward stock, and general clerical duties.
  • Filing results in patient files.
  • Ordering patient files and notes.
  • Ensuring that all patients have up‑to‑date VTE forms.
  • Maintaining up‑to‑date information on Trust computer systems (e.g., Healthroster, Lorenzo, and Digit).
  • Liaising with other members of the multi‑disciplinary team, such as secretaries, social services, etc.
  • Requesting and obtaining patient records and X‑rays.
  • Booking patient transport and rescheduling patient appointments when required.
  • Direct admissions to the ward.
  • Photocopying, scanning, and faxing documents as required.
  • Providing clerical support to the Ward Manager.
  • Delivering referrals to the relevant departments.
  • Making any relevant follow‑up appointments for patients.
  • Assisting with lunchtime service.
  • Logging any maintenance work as required.
  • Demonstrating own work duties to new starters.
  • Carrying out ward‑based audits of aspects of patient care that relate to the role of ward administrator.
  • Providing clerical support for audits carried out by nursing staff.
  • Carrying out coding of all ad hoc/ward patients seen on the surgical unit and supporting the work of the coding department.
  • Ordering stationary and general supplies to ensure the ward area is adequately covered.
  • Ensuring the nursing station/ward clerk area is kept generally tidy.
  • Communicating with others in a polite and courteous manner at all times.
  • Communicating with medical and nursing staff, patients, relatives, carers, and other members of the public.
  • Maintaining patient confidentiality at all times.
  • Acting in accordance with all Trust policies and procedures at all times.
Qualifications
  • Educated to NVQ level 2 or equivalent experience.
Experience
  • Experience with IT systems.
  • Educated to NVQ level 2 or equivalent experience.
Skills
  • Keenness to develop new skills.
  • Good interpersonal skills – able to work as a team.
Personal
  • Good team worker.
  • Able to work under pressure.
  • Able to communicate clearly, in writing and verbally.
