Job Purpose

We are seeking a highly organised and proactive Executive Secretary to provide exceptional administrative and organisational support to senior leaders.

This role is integral to the smooth and efficient running of the executive office, ensuring priorities are managed effectively, information flows seamlessly, and key activities are delivered to the highest standard.

The Executive Secretary will manage complex diaries, coordinate key communications, prepare high‑quality documentation, and act as a trusted first point of contact for internal and external stakeholders.

Accountabilities & Responsibilities
  • Manage complex and dynamic diaries, proactively identifying priorities, resolving scheduling conflicts, and supporting effective time management for senior leaders.
  • Provide high‑quality administrative support, including preparing correspondence, reports, presentations, and briefing materials.
  • Act as the first point of contact for senior leaders, handling enquiries with discretion, professionalism, and sound judgement.
  • Coordinate meetings and events, including logistics, agendas, supporting documents, and follow‑up actions.
  • Maintain and update confidential files, records, and information management systems in line with organisational requirements.
  • Build and maintain strong relationships with key internal and external stakeholders to support the smooth operation of the executive office.
  • Monitor incoming communications (email, telephone, documents) and ensure timely, appropriate responses or escalation.
  • Support the preparation of board‑level papers, reports, and governance documentation.
  • Manage travel arrangements, itineraries, and expenses in accordance with organisational policies.
  • Provide administrative support for key projects and initiatives, ensuring deadlines are met and progress is tracked effectively.
  • Anticipate the needs of senior leaders by forward‑planning and preparing information to support decision‑making.
  • Handle sensitive and confidential information with the highest levels of professionalism and integrity.
