Overview
You will be based in the Administration Office on the Hollins Park Site in Warrington. The post is for a full-time Band 4 Personal Assistant who will administratively support the Clinical Director for Low Secure and Specialist Forensic Community Services, with their managerial duties as well as their patient caseload.
Responsibilities- Provide comprehensive secretarial and administrative support to the Clinical Director/Consultant Forensic Psychiatrist, ensuring a confidential, accurate and timely service.
- Type a wide variety of documentation from manuscript and transcription recordings.
- Maintain the on‑call rota, ensuring it is up to date and circulated.
- Take live minutes in meetings and ward rounds, prepare for meetings in advance, chase up outstanding actions and upload all clinical information to the clinical recording system promptly.
- Support the inpatient and outpatient community team, acting as the main point of contact for the Consultant Forensic Psychiatrists and Junior Doctors.
- Develop and maintain spreadsheets to collect activity data, monitor sickness and annual leave and keep audits of clinical information complete in a timely manner.
- Undertake general secretarial duties such as typing (including case notes), photocopying, dealing with telephone enquiries, booking rooms and arranging hospitality, stationery stock control, reporting repairs and any project work as required for other disciplines.
- Provide cover during periods of leave and work as part of a team to support smooth administration within the secure care environment.
- Experience working in a similar role, preferably within an NHS environment.
- Competency in Microsoft Office, especially Excel, and the ability to prepare presentations using PowerPoint.
- Experience of taking live minutes to a high standard.
- Ability to type quickly and accurately, including case notes and transcription.
- Strong organisational skills and the ability to prioritise competing deadlines.
- Evidence of relevant qualifications through certificates.
