Operations Administrator – Eventor
Eventor (Part of the Culina Group) is a leading event specialist, providing bespoke logistical solutions for motor sport, music, events, exhibitions, and the nuclear industry.
The Operations Administrator plays a key role in supporting the day‑to‑day running of our General Haulage and F1 Transport operations. This position is ideal for a proactive and organised individual who thrives in a fast‑paced environment, can communicate effectively across multiple teams, and ensures smooth administrative and compliance processes within the business.
Key Responsibilities- Maintain and update the General Haulage Revenue Tracker, ensuring accuracy and timeliness.
- Assist in haulage planning and provide administrative support.
- Liaise effectively with Event crew, Event managers, Transport team and customers.
- Book and prepare meeting rooms, slides, take meeting notes and distribute minutes.
- F1 event tracking, ensuring all customer equipment is tracked and updates communicated promptly.
- Assist with route planning, optimisation and support the planning team.
- Maintain compliance and local records adhering to GDPR and company policy.
- Monitor and input drivers’ start/finish times, WTD compliance and EU Drivers’ Hours.
- Maintain and update records such as the Eventor Data drive, Master Recruitment tracker and Service Wall Planner.
- Prepare compliance packs for back‑to‑back book‑ons; may travel with the team.
- Assist with weekly payroll and expenses, process POs and ensure timely payment.
- Support audits and prepare necessary paperwork.
- Order stationery, station and uniform supplies and maintain stock levels.
- Perform general operational tasks and administration.
- Working knowledge of WTD and EU Drivers’ Hours (core).
- Working knowledge of GTS (desirable).
- IT literacy including Microsoft Word, Excel and Outlook.
- Strong communication and interpersonal skills.
- Ability to question, challenge and improve existing processes.
- Ability to prioritise and establish effective working relationships.
- Capacity to work to tight deadlines.
- Ability to multi‑task with a calm, flexible approach.
- Positive attitude, commitment and self‑motivation.
- Methodical and organised approach.
- Enthusiasm to learn and progress through experience and training.
- Annual Leave – 20 days, increasing to 25 days after 3 years of service.
