We are seeking a Post Closing Analyst to join our Securities and Document Management team. The Analyst will be responsible for conducting post-closing functions and brings experience in multifamily mortgage servicing, title company operations, banking, or real estate law. The Analyst is highly motivated and capable of handling multiple tasks simultaneously. This role is based in our Warrenton, Virginia Office.

Primary Duties and Responsibilities
  • Perform post‑closing functions, including comprehensive loan document audits and scanning of all closing files.
  • Manage and inventory large volumes of recorded documents with accuracy and efficiency.
  • Maintain and update various Excel spreadsheets to track documentation, loan data, and departmental metrics.
  • Accurately upload loan documents into the Freddie Mac Document Management System (DMS).
  • Coordinate with multiple law firms to obtain and follow up on required real estate closing documentation.
  • Organize, file, and maintain loan documents in accordance with company standards and regulatory requirements.
  • Update departmental procedures and documentation as needed to support process improvements.
  • Manage inventory of various loan documents throughout their lifecycle.
  • Oversee document delivery to Custodians in a timely and compliant manner.
  • Prepare loan document assignments and ensure accuracy prior to submission.
  • Monitor and manage a shared group email inbox, ensuring timely response and task routing.
  • Perform additional related duties and special projects as assigned.
Experience, Skills, and Abilities Required
  • Minimum of two years of experience in a related field such as multifamily mortgage servicing, title company operations, banking, or real estate law.
  • Familiarity with Freddie Mac, Fannie Mae, and HUD loan documents is a plus.
  • Experience with Freddie Mac DMS and Fannie Mae Doc Way systems is highly desirable.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Ability to prioritize tasks, manage multiple deadlines, and thrive in a fast‑paced environment.
  • Excellent written and verbal communication skills, with the ability to convey information clearly and professionally.
  • Demonstrated ability to work collaboratively in a team environment, while also taking initiative and solving problems independently.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Dynamics, and PowerPoint); experience with document management systems preferred.
