Role Overview

The Northrop Grumman Defense Services is seeking an experienced Administrative Assistant to support the Radar Systems Business Area in Warner Robins, GA. The role involves day‑to‑day office operations and coordination within a collaborative team environment.

Responsibilities
  • Multi‑task in a fast‑paced environment using judgment and discretion.
  • Diplomatically interface with all management levels, employees, internal and external customers, and vendors.
  • Produce and distribute memoranda, reports, presentations, organization lists and charts.
  • Co‑ordinate and maintain the Operating Unit Team’s calendar (meetings, schedule, deliverables) proactively.
  • Manage multiple conference room calendars, schedule and maintain equipment.
  • Schedule and set up meetings using Microsoft Outlook, take minutes, track action items, coordinate meal ordering.
  • Support travel requests and expense reports, track documentation (per diem rates, Visitor Authorization Requests, spreadsheets).
  • Provide backup to other Administrative Assistants in the Operating Unit.
  • Maintain files and records in accordance with directives.
  • Handle employee in‑ and out‑processing and office moves.
  • Perform standard office duties: answer phones, take messages, greet visitors, order supplies, manage maintenance requests, order equipment for multiple program areas.
  • Prepare complex communications and documents, design and maintain procedures, handle confidential information.
  • Maintain a record of all program staff training.
Basic Qualifications
  • High school diploma plus a minimum of 4 years additional education/experience in the administrative field or an Associate’s Degree in business administration or related field and 2 years related experience; or Bachelor’s degree in the administrative professional field.
  • Advanced expertise in Microsoft Office (Word, PowerPoint, Outlook, Access, Visio, Excel) and intranet/internet proficiency.
  • Ability to compile and generate reports and presentations.
  • Ability to efficiently coordinate Outlook calendars and high‑tempo schedules.
  • Prior experience coordinating on‑ and off‑site meetings/events.
  • Experience proofreading and correcting documents for grammatical errors and formatting.
  • Proactive, highly motivated, adaptable with excellent organizational skills and ability to juggle multiple tasks.
  • Expert oral and written communication skills.
  • Experience supporting a variety of management levels and collaborating across organizational levels.
Preferred Qualifications
  • Associate’s Degree in business administration or related field.
  • Experience and proficiency with Concur travel and expense reporting system.
  • Experience working in SharePoint.
Benefits and Compensation

Primary Level Salary Range: $48,400.00 – $80,600.00. Salary is based on position scope, responsibilities and candidate experience. Employees may be eligible for overtime, shift differential, and discretionary bonuses. Annual bonuses reward individual contributions and company results. Long‑term incentives may be available for VP or Director positions.
