Position: HR Associate, Operations (Compliance Focus), WAL

Overview

The HR Associate, Operations (Compliance Focus) supports compliance and administrative processes across a multi-state organization. You will help ensure SGH is compliant with federal, state, and local employment laws, including requirements related to federal contractors. This role reports to the HR Operations Manager and works within the HR Operations team and a broader HR Department of 14 colleagues.

What You’ll Be Doing
  • Support the HR Operations Manager with compliance of federal, state, local, and federal contractor requirements.
  • Draft new or updated policies for the Employee Handbook related to new or changed employment laws.
  • Liaise with the Director of HR, HR Operations Manager, and Talent Development staff on compliance with state or local anti-harassment and anti-discrimination training requirements (e.g., annual or bi-annual trainings depending on state).
  • Audit and review internal processes to ensure compliance with Form I-9 and E-Verify, including monitoring SGH’s electronic I-9 platform.
  • Manage ongoing employee communications related to notices (annual, new hire, and separation notices).
  • Maintain and manage SGH’s legally required employment postings.
  • Collaborate on external data reporting requirements (e.g., EEO-1, Veteran’s 4212, CA pay data reporting).
  • Support requests from internal departments and engineering teams related to pursuit and project compliance, such as reviewing policies and providing information for compliance certificates.
  • Manage background checks and drug/alcohol screening within required time frames, coordinating with engineering staff as needed.
  • Coordinate annual motor vehicle record checks to ensure drivers meet internal policy requirements.
  • Coordinate with the HR Operations Associate to update onboarding platforms with required forms and notices for new hires.
  • Support compliance with FLSA and maintain document retention for personnel files and I-9s.
  • Assist with data protection and privacy policy procedures in collaboration with the legal team.
  • Organize internal documents, reference materials, and tracking sheets to support compliance items and retention requirements.
  • Partner with the HR Benefits team regarding joint HR Operations & Benefits policies.
What You’ll Need
  • 3 or more years of related experience.
  • Excellent verbal and written communication skills.
  • Experience drafting policies.
  • Strong knowledge of employment laws and HR compliance requirements.
  • Proactive and collaborative, with the ability to independently manage competing priorities and deadlines with high attention to detail.
  • Ability to review laws, policies, and procedures and make recommendations.
  • Ability to maintain confidentiality and manage sensitive information.
  • Intermediate proficiency with MS Word, PowerPoint, and Excel.
  • Experience with an HRIS (e.g., ADP Workforce Now) or similar system.
Working Conditions

Office environment with typical seated work; occasional standing, walking, and use of keyboard and mouse. Moderate noise level.

Compensation

The salary range shown is a good faith estimate per applicable pay transparency laws. The actual salary depends on experience, qualifications, and location. Base salary is part of SGH’s Total Compensation package, which includes base pay, potential bonuses, paid time off, and health and wellness benefits with strong SGH contributions to medical premiums and the Profit Sharing & 401(k) Plan.
