Health Records Clerical Officer - Band 2 - Permanent Night Shifts

22.5 hours per week working Friday, Saturday and Sunday nights from 10 pm - 6 am

An exciting opportunity has arisen for an enthusiastic and motivated individual to join our friendly Health Records Team, working in a physically demanding environment.

Main duties of the job

The post holder will support with all tasks undertaken within a Health Records Department.

  • pre-file of patient records
  • Filing of patient records
  • processing off site storage requests and returns
  • preparation of patient records for out patient clinics and inpatient activity
  • Working on front desk responding to urgent file requests, creating files and pulling patient records for planned activity.
  • Preparing and scanning patient records into our electronic patient record
  • Experience of working in a manual role

Other duties include answering telephone queries and using our Patient Administration and Associated Information Systems

Walsall Healthcare NHS Trust is an integrated Trust and the only provider of NHS acute care in Walsall, serving a population of 284,300. It provides inpatient and outpatient services at the Manor Hospital as well as a wide range of services in the community. Walsall Manor houses the full range of district general hospital services under one roof. The £170 million development was completed in 2010, and ongoing upgrades ensure the Trust now has state-of-the-art facilities, including a Critical Care Unit, Neonatal Unit, Obstetric Theatre, and Integrated Assessment Unit.

A new Urgent and Emergency Care Centre, opened in March 2023, has significantly improved emergency care facilities and capacity, providing almost 5,000 square metres of additional clinical space.

Job responsibilities

The successful candidate will be able to work in a calm, organised way with the ability to multi-task whilst dealing with frequent interruptions and changing priorities. The post entails manual handling and repetition of tasks. You must be confident, friendly and able to work in a very busy environment against tight deadlines.

Previous knowledge and experience of working in a similar environment would be advantageous. It is essential that your application demonstrates your ability to meet the Job Description and Person Specification, and in particular your experience of working as part of a busy team, knowledge of confidentiality, good communication and customer service skills.

The post requires the use of kick stools and step ladders to retrieve files and involves long periods of being on your feet.

Person Specification QUALIFICATIONS
  • GCSE (or equivalent) in two subjects, preferably English and Maths
  • NVQ Level 2 in Customer Service (or Equivalent)
Knowledge and Experience
  • Dealing with patients/general public face to face or working in a customer focused environment
  • Using MS Office and other Information systems/Patient Administration System (desirable) to input and update personal data
  • Working as part of a team in a busy environment.
Skills and Aptitudes
  • Numeracy skills and attention to detail.
  • Excellent keyboard, IT and administrative skills
  • Good customer care and verbal communication skills
  • Good written communication skills in order to meet the requirements of the post.
  • Lifting and manual handling techniques
  • Knowledge of confidentiality and data protection issues.
OTHER
  • Working with VDUs daily
  • Lifting and manual handling of case notes
  • Use of general office equipment, e.g. photocopiers, etc
  • Can be exposed to sensitive safeguarding documentation which may be highly distressing Can be unpleasant working environment due to dust and heating elements on the scanners
  • Physical effort is required when working in the Library environment
  • Deal with sensitive and confidential information

  • Shift working is required dependent upon the position advertised
