About BCIBritish Creative Institute (BCI) is a specialist post-16 provision supporting young people with SEND to access creative media pathways alongside core and personal development learning. The RoleWe are seeking two friendly, organised, and professional Receptionists to provide high-quality front-of-house and administrative support—one based at our Walsall Faculty and one based at our Birmingham Faculty. Each Receptionist will be the first point of contact for their site, helping the college run smoothly day to day and ensuring a calm, welcoming environment for our learners and visitors.
Key Responsibilities (Reception & Front of House)- Provide a warm, professional welcome to students, parents/carers, visitors and professionals.
- Operate the reception desk: manage incoming calls, emails, messages, and general enquiries.
- Maintain visitor procedures, including signing‑in/out and issuing visitor badges, ensuring safeguarding protocols are followed.
- Support with safeguarding‑related processes at reception (e.g., reporting concerns promptly to the DSL team as per policy).
- Manage appointments and support staff with meeting coordination.
- Provide general admin support including filing, scanning, photocopying and document preparation.
- Maintain accurate records (paper and digital), ensuring confidentiality and GDPR compliance.
- Support attendance administration (e.g., logging late arrivals/early departures, relaying messages to tutors).
- Assist with post, deliveries, stock monitoring (e.g., stationery), and day‑to‑day office organisation.
- Liaise with staff to ensure information is passed efficiently and professionally.
- Help maintain a safe, calm, and welcoming environment, particularly for SEND learners.
- Follow health & safety procedures, including reporting hazards and supporting site routines.
- Experience in a receptionist/front‑of‑house or admin role (education/healthcare/community setting desirable).
- Excellent communication skills (face‑to‑face, telephone, and written).
- Strong organisation skills and ability to prioritise.
- Confident using IT systems (email, calendars, Word/Excel or similar).
- Professional, discreet, and able to handle confidential information appropriately.
- Experience working in an SEND or education environment.
- Understanding of safeguarding responsibilities in an education setting.
- Experience supporting attendance/admin processes.
