Office Assistant Lead – Washington State Penitentiary (WSP), Walla Walla, Washington
The Department of Corrections (DOC) is seeking a highly motivated and qualified individual for the position of a Full‑Time, Permanent Office Assistant Lead for the Washington State Penitentiary (WSP) located in Walla Walla, Washington. The WSP is comprised of 4 Close Custody Units, 3 Special Housing Units, 2 Intensive Management Units, 2 Medium Units, 2 Minimum Housing Units and a Hospital.
In all, WSP houses approximately 2,000 incarcerated individuals and employs approximately 1,000 staff. The facility operates 24 hours a day, 7 days a week.
Whether the work is inside a prison, in community corrections, or in an administrative office, DOC staff experience a high degree of personal satisfaction knowing they are creating environments in which all incarcerated individuals can learn to make choices that contribute to a safer society.
Duties include but are not limited to:- Ensure new staff are properly trained and provide ongoing training to current staff
- Provide input to supervisors on unit operations and employees’ performance
- Draft the unit's monthly schedule of assignments to disburse and task workloads
- Organize job duties for lower-level staff and coordinate workflow
- Monitor team performance to ensure the unit meets accepted standards for quality, timeliness, accountability
- Document and maintain monthly staff meeting minutes
- Respond to inquiries regarding clerical policies, procedures and services
- Establish and update templates for lower-level staff
- Review data for completeness and accuracy and refer questionable data or narrative to originator for clarification
- Maintain confidentiality of information protected by DOC policies, federal or state laws
- Develop and prepare reports related to unit activity and production, comparing data from various sources to identify trends, differences, similarities, etc.
- Submit purchase request for office‑related supplies
- Coordinate and facilitate records management, install filing systems, and arrange for file retention and disposition
- High school diploma or G.E.D.
- Ability to type a minimum of 40 words per minute
- Intermediate Word processing and spreadsheet skills
- Minimum of two (2) years of clerical experience
- Minimum of five (5) years of clerical experience
- Minimum of one (1) year of clerical lead or supervisory experience
- Advanced Word processing and spreadsheet skills
