Overview
POSITION SUMMARY:
Processes and maintains docket entry and imaging of criminal and juvenile case filings. Incumbent uses knowledge of the Texas code of Criminal Procedures and Texas Rules of Juvenile Procedure, and any legislative changes to ensure that all filings conform to requirements. Acts as division liaison to the judges, court coordinators, attorneys, other county departments, law enforcement, state and federal government agencies, schools, and the general public.
job functions
- Identifies and file marks all documents received via mail, electronic filing, or in-person
- Prepare documents for scanning by ensuring they are unstapled, date & time stamped and signed by a deputy
- Records all pre-trial filings by defense and state attorneys in Criminal & Juvenile cases into Case Management System to record the court docket
- Reviews each filing to be entered and imaged to determine whether they should be sealed or made non-public to restrict access to information considered private under state statutes
- Assists Criminal Lead Clerk with processing of Felony Indictments into CMS and publication of Grand Jury Indictment List
- Assists Criminal File Clerk with preparation of case binders for criminal and juvenile cases to ensure all filings are accurately recorded and easily identifiable for all pretrial hearings
- Tracks and maintains integrity of inventory of case binders checked out to three Criminal District Courts and Juvenile District Court Personnel
- Fulfills file requests made by the public and legal entities, ensuring to maintain confidentiality on sealed matters and compliance with state laws regarding access to juvenile records
- Maintains accurate communications with potential jurors, and discerns whether members of the public meet standards for claiming a disqualification or exemption via state law
- Involved in jury coordination including jury list distribution, summons collection, and issuance of employer related communications
- Assembles jury strikes for State and Defense attorneys to formulate a list of jurors to be seated and sworn and to prevent a mistrial based on improper jury selections
- Expedites attorney pay vouchers and assists attorneys in tracking payment from the Auditor’s Office
- Reviews, sorts, assembles and organizes materials; routes and delivers daily mail and documents to appropriate parties
- Manages office supplies and is responsible for making supply runs
- Provides service to general public and attorneys in a courteous manner
- Regular attendance and timeliness are required

EducationRequired:
- High School Diploma or GED
Required:
- 3 years’ experience in an office or business operation
- General knowledge of basic hardware and software and uses of a variety of different computer operating systems such as Microsoft Office Work, Excel, Outlook
- Must be able to type and perform data entry
- Ability to accurately sort, file, and retrieve material using alphabetical, numerical, or chronological systems
- Possess excellent communication skills in expressing oneself clearly and concisely, both orally and in writing
- Exceptional skill in establishing and maintaining effective working relationships with County staff and attorneys, litigants, defendants, Court Administrative Office and other Courthouse office, judges, witnesses, police departments and the public
- General skill in operating standard office equipment such as personal computers, calculators, photocopiers, fax machines, scanning equipment and multi-line telephones
- Must also be personally bondable
