Position: Clerk(Jail)

Overview

Performs a variety of support service functions including collecting, sorting, updating, distributing and purging agency submitted records. Ensures the completeness and accuracy of records. Provides copies and timely delivery of documents to appropriate parties including the State Attorney's Office. Assists other units with look‑ups, data entry and location of key information and records as needed.

Provides timely delivery of priority letters, inter‑office documents, U.S. mail and packages. Operates postage meter machinery; may drop off outside mail at approved vendor locations as needed.

Responsibilities
  • Collect, sort, update, distribute, and purge agency submitted records.
  • Enter and document information in computer systems received from various judges’ offices pertaining to criminal cases.
  • Maintain inmate records and documents requested by the department or county.
  • Deposit funds into individual inmate trust accounts.
  • Prepare and locate necessary reports, including Deputy or Officer reports, prosecution reports, warrant requests, and juvenile petitions; access incident reports and provide information as appropriate to the public and other agencies.
  • Monitor documents, files, and computerized data to ensure the integrity of the McLennan County Sheriff’s Office records and statistical information for which the public may have access.
  • Answer telephone calls in a courteous and efficient manner, route incoming calls to appropriate persons or offices, or take messages.
  • Perform clerical tasks such as typing, sorting documents, filing, notarizing documents and operating office equipment.
  • Archive records, clean out files and box files.
  • Assist with complaints and requests for help and information.
  • Regular attendance and timeliness are required.
  • Other duties as assigned.
Qualifications
  • High School Diploma or GED.
  • At least 2 years of clerical experience.
  • Applicant must be twenty‑one years of age on or before date of hire.
  • Current and valid Texas driver’s license and a safe driving record.
  • Must maintain personal loyalty to the Sheriff.
  • General knowledge of basic hardware and software and use of a variety of operating systems such as Microsoft Office, Excel, Outlook.
  • General skill in operating standard office equipment such as personal computers, calculators, and telephones.
  • Self‑starter able to accomplish expected tasks under minimal supervision.
  • Thorough understanding of the importance of confidentiality.
  • Ability to provide accurate information to the public, attorneys, and bondsmen.
  • Tactfully deal with the public including irate callers/visitors.
  • Ability to accurately sort, file, and retrieve material using alphabetical, numerical, or chronological systems.
  • Ability to become a notary.
  • Preferred: 1 year experience in law enforcement clerical work.
Disqualifiers
  • Undesirable character or reputation.
  • A felony conviction or felon convicted of an offense.
  • Conviction, including court‑ordered community supervision or probation for any criminal offense above the grade of Class B Misdemeanor, or a Class B Misdemeanor within the last ten (10) years.
  • Arrest for DWI or DUI in the past ten (10) years.
  • Currently under indictment for any criminal offense.
  • Sold or manufactured any illegal drugs.
  • Conviction, guilty plea, or probation for any family violence offense.
  • Discharge from any military service under less than honorable conditions, or any other characterizations of service indicating bad character.
Physical Demands
  • Regularly required to talk or hear.
  • Frequently required to stand; occasionally to walk, sit, use hands to find, handle, or feel objects, reach with hands and arms; stoop and kneel.
  • Must be able to safely lift 20 lbs.
  • Must be able to physically avoid combative or aggressive inmates and may occasionally become involuntarily engaged with combative inmates.
Work Environment
  • Contact with at‑risk clients and persons accused or adjudicated of misdemeanor and felony offenses, visitors and general public.
  • Work is performed mostly indoors in a 24‑hour/7‑day confined, security facility.
  • Climate‑controlled environment. Significant contact with the public, elected officials, department heads, and other county employees.
