Job DescriptionWhat We Are Looking For
Baylor University is seeking an Office Manager in the department of Human Science and Design. This position is responsible for providing comprehensive administrative, operational and systems support for the Human Sciences and Design Department. The HSD Office Manager will serve as a central point of coordination for department operations and support leadership, faculty and administrative partners through accurate execution, systems oversight and management of complex, multi-step processes.
The Office Manager works closely with department leadership and reports to the Administrative Manager, serving as a key staff partner in department operations. This is a full-time, in-office, 12-month position.
A Bachelor's degree and two years of relevant work experience are required. A Bachelor’s degree and three years of relevant work experience are preferred. Experience in academic office management, managing shared document systems (i.e., Box or similar platforms), and an intermediate to advanced Excel skill level is preferred. Additional education or experience may be considered in lieu of one another.
Applicants must have exceptional organizational skills with strong attention to detail and accuracy, possess strong written and verbal communication skills as well as work independently with minimal supervision.
All applicants must be currently authorized to work in the United States on a full-time basis.
What You Will Do
- Department Operations & Leadership Support
- Manage multiple concurrent tasks and priorities ensuring deadlines are met
- Prepare organized reports, summaries, spreadsheets and supporting materials as requested
- Develop and maintain tracking tools to monitor deadlines, processes and outcomes
- Route materials across departmental and university workflows
- Adjunct Hiring, Academic Scheduling and Room Coordination
- Coordinate and oversee the adjunct hiring and academic scheduling processes
- Manage Adjunct hiring workflows from initiation through completion, including coordination of multiple hires per semester
- Establish and communicate confidently with faculty regarding timelines, deadlines and required documentation for adjunct hiring, course assignment and room scheduling
- Coordinate classroom and instruction space assignments
- Systems Oversight, Document/Data Management and Reporting
- Manage department administrative systems and workflows
- Organize, track and report data using Excel and related tools, producing clear, accurate outputs to support leadership review and decision-making
- Oversee internal Box environments, including folder structures, permissions, naming conventions and version controls
- Maintain confidentiality, accuracy and integrity of departmental records
- Faculty Meeting and Communication Support
- Support department leadership in the preparation and organization of materials for department faculty meetings
- Assist in developing, organizing and formatting faculty meeting slide decks and supporting documents
- Track agenda items, deadlines and materials in advance of meetings
- Faculty, Staff and Administrative Collaboration
- Work professionally and confidently with faculty as a staff partner
- Communicate expectations clearly, respectfully and consistently
- Represent the department with professionalism, discretion and respect
- Student Worker Supervision
- Supervise, train, and support student workers assigned to the departmental office
- Assign tasks and provide clear guidance to ensure the timely completion of work
- Monitor student worker schedules and hours in coordination with departmental and university policies
- Review work for accuracy and provide constructive feedback to support student development
- Work Environment and Expectations
- Ability to manage multiple priorities in a fast-paced academic environment
- Work independently and exercise sound judgement
- Perform all other duties as assigned to support Baylor’s mission
